Branches
Once a library organization (LO) has been defined in the system, you can add and manage branches within Wise. A branch is an organizational unit within a LO. A branch can be a physical location or an administrative unity. Within a LO, the branch can play a specific role such as a school branch, service point, staff branch, or bookmobile. To generate detailed reports of your branch information, see Fixed branch reports.
Branches are defined in the Wise configuration manager at OCLC Wise > Management organizations > Branches.
Add a new branch
When a new branch is added to a library system, the following rules apply:
- Every branch will receive a unique branch number
- The branch number must be unique per Wise system
- The numbers 0001 to 9994 can be used for this purpose
- Branch 0000 is reserved for system settings. A number of properties for the entire system must be included in this branch. These properties are, for example, address information, etc. This is configured at systemWise > systemWise > System settings.
Add a branch
- In the Wise configuration manager, go to OCLC Wise > Management organizations > Branches.
- Click Open next to your library system.
- Click New.
- Provide branch details.
- Click OK to save.
Copy, change, or remove a branch
All of the branches added to Branches can be edited. To copy, change or remove a branch:
- Navigate to the branch you want to edit.
- Click Detail next to the Name. The branch screen appears.
- At the bottom of the screen, click the radio button the Copy, Change or Remove.
- Click OK.
- If you selected Copy, a confirmation message appears. Click OK and a copy will be added to the list. The copied branch appears at the end of the list. You will need to click Detail next to the new value and then Change it, if needed.
- If you selected Change, you will be able to make changes to the editable fields. Once your changes are complete, click OK again to save.
- If you selected Remove, a confirmation appears. Click OK to remove. The branch is deleted.

Organization |
Displays the library organization to which the branch belongs. The library organization is selected when a branch is created. The system number cannot be changed. If a branch is linked to the wrong system, the branch must be removed and added to the correct system. Note: When a library organization or branch is changed, not all history, statistics, and transactions will automatically be restored in the relationship. |
Branch |
The branch number. Note: Branch numbers 9789 and 9799 could produce barcodes that are identical to ISBNs. We recommend that you do not use those two branch numbers. |
Branch code |
The branch code is an alternative (alphanumeric) three-character code for a branch. |
Description (standard) |
A short description of the branch. Maximum of 20 characters. Wise will use this description in the header of the Wise staff client display and also in the header of overviews. |
Description (long) | Long branch name, used to print the branch description on the customer label. Maximum of 40 characters. |
Sector |
The sector indicates to which type of service provision a branch belongs. The sector is regulated through your license of support for Wise. US libraries are currently only using the BIEB sector. The following sectors exist:
The sector of each branch must be set carefully during the implementation of Wise. It is possible to change the sector at a later time. Changing the sector will not automatically restore the sector for the applicable branch in the data files and statistics. Various functions offer a verification on the use or application per sector. These settings must be converted/verified afterward. |
Category |
The branch category must be indicated for all departments/branches in a Wise system. The default value for a library is I - Integrated library. This indicates that your branch will work with other libraries. |
My Menu configuration |
My Menu configuration defines which services are offered to customers from the web portal and web catalog. Set via Products and Services > Memberships > Membership settings > Membership definitions> My Menu configuration. When adding a My Menu configuration, it must be indicated per configuration to which type a process belongs:

Site number |
Every Wise system will receive a unique number issued by OCLC during implementation. Entering a site number in the branch configuration is only important for offline branches (category B, D, and E) when exchange collections are created for these offline branches. In this case, the site number of the system of the relevant branch must be included here. If collections must also be delivered to branches on systems of other suppliers (not OCLC), a site number must be determined in consultation with OCLC. |

Guest lending active |
If a branch participates in national guest lending, this box must be checked. |
Cost center number |
In order to create a link to financial accounting, the cost center number of this branch can be indicated in the ledger per branch. If the cost center number is not indicated, the branch number will be included as cost center number in the link. |
Cash drawer number |
If only one cash drawer is used in a branch, the number of this cash drawer must be included. Example: A branch uses cash drawer 100 (Journal K100). The number 100 must be included in this field. If various cash drawers are used in the branch, the cash drawer number in the branch does not have to be entered. The cash drawer included in a payment terminal should not be counted as a cash drawer in a branch. If no cash drawer number is entered in the branch, Wise will work with the cash draw number from the port setting. |
Sorting bin |

Fee table |
Select the membership fee table that will be used for this branch. Generally, one membership fee table will be used per library system. Within a library system, various membership tables can be used. Example: Multiple cities are included in a system, but the membership cost per customer for each city is different The membership fee tables are defined in Products and services > System tables > (TABCON) Membership fee table. The membership charges are defined in Products and services > Memberships > Membership settings > Membership charges. |
Policy table |
Select the Policy table assigned to this branch. Policy tables are defined in the Wise configuration manager at Products and services > System tables > (TABRGL) Policies table. The policies per system are defined in the Wise configuration manager at Products and services > Policies. |
Online membership process |
The online membership process determines which membership types are available through the library website. See Online membership process for more information. |
Main branch |
Select a home branch to be assigned to customers who acquire their library cards from this branch. If a home branch is not set, the system will default to the branch where the membership is created as their home branch. If a different home branch is set, it must be a branch in the same system as this branch. Wise uses the membership table associated with the selected home branch. Customer statistics are generated per home branch. You can configure Wise to verify whether the home branch of the customer is evaluated and updated when their membership expires. Changes made to the home branch will only affect memberships created after the changes are made. |

Management of customer accounts |
Select the branch that will manage notifications and tracking of fines for customers of this branch. This setting is only required for main branches. If no management branch is indicated with a home branch for borrower administration, no monthly fine invoice will be generated for the customers of their selected home branch. These customers must be managed in a different way. Memberships will be automatically removed in Wise if the duration of the membership has expired. For branches where customers are imported, it is possible to maintain fine extensions via the monthly management program. Customers imported via import must receive a membership code that stipulates the membership definition that they receive. |
Administrative branch billing |
Indicate which branch manages the customer bills of this branch. This includes invoices for lost items and membership cost bills. The branch indicated here will manage the administrative check of the bills for the lost items, selection, and printing of invoices. If no management branch is indicated, the branch itself must do this. |
Billing selection branch |
Indicate which branch will select the customer bills for this branch so that a central branch can process and print the invoices. If this field is empty, the management branch will also be the selection branch. |

Report fines and fees more than x day(s) old |
Set a maximum number of days before the desk receives the notification of a fine. The system can create a block on a customer account if a customer has a fine of any amount and is older than the defined term. This may limit the options for the customer. Customers can be informed via email (Message type PFA) when the term exceeds five days. For more information, see Finance. |

Age for adults items |
Provide a minimum age, in years, for customers to borrow adult materials. This setting works only in combination with SCAT codes provided for Juvenile block. Juvenile block |
Certain SCAT codes are blocked and cannot be checked out to youth borrowers. SCAT codes can be blocked based on the first or second digit of the code. Use a space or the minus sign as a separator between each category. The first digit must be included between blocking brackets. The second and third digit can be defined after. Examples:

Number of improper returns | The number of items not properly returned that is allowed. If a customer has not returned this number of items to the book drop and they show up elsewhere in the library, it can be tracked. |
Reshelving time |
The amount of time, in minutes, after items that have been returned are left as unavailable for checkout. This allows library staff time to process the returned item. The set clean-up time will only be applied to items returned to the branch that holds them. In all other cases, a standard time of 60 minutes will be applied. |
Branch Affinity Factor (in days) |
The amount of time, in days, that a reserved item can take to be delivered. If an owned item is prepared for transport for a hold in another branch, Wise will check whether there is a hold for a borrower in the branch where it is held and no more than seven days later than the hold date of the transport to the other branch. If this is the case, the item will be assigned to the hold of the owning borrower. If a Branch Affinity Factor has been entered, it will be taken into account. The Branch Affinity Factor (BAF) must also be applied at the system level. If the BAF cannot be used for the hold, Wise will move on to another branch to see if the hold can be fulfilled. The condition gives priority within the owning system. See Branch affinity factor for more information. |
Affinity factor per day |
Related to the Branch Affinity Factor. A value can be given for the desired affinity factor per day. Each day can be assigned a value from 0 to 7. |
Block status 3 for My Menu functions |
Select Yes to block customers with status 3 or 4 from My Account functions. When something is not entered, the settings with Customers > Customer status > (ACSTBL) Actor Status STAFF will be applied.

Deliver items held on basis of origin |
This is determined based on where the item is located and whether items can be delivered. For background collections, the branch location of the item is not the determining factor, instead, settings are dictated by the owning branch to determine whether they will be delivered. This setting must be set to Yes with the background location. |
Weekly pattern - days of operation |
Indicate on which days the library is open or closed. This setting is used to generate a calendar. If the weekly pattern is changed, the system calendar must also be updated. For more information, see (Re-)generate Calendar. |
