Item details screen menu options

The top part of the Item details screen contains menu options for managing the item. For more information about accessing the Item details menu, see View item details.

Item details screen menu options

Item

Functions under the Item menu allow you to make changes or perform actions related to the item.

Relabel 

The Relabel function is located in the Item details screen menu at Item > Relabel. It is used to assign a new barcode as a replacement for an existing one. This function cannot be used to assign a barcode to a new item that has not yet been linked.

This function can also be accessed by right-clicking in the item browser of the Catalog window.

 Note: Items with the following statuses cannot be relabeled: I, T, A, V, U, M. However, items with the status of T and substatus N - Transit (new) can be relabeled.

Relabel an item:

  1. Make sure that the item is checked in and has status TN, N, B, R, or K.
  2. Go to Item > Relabel.
  3. Scan or enter the new barcode for the item.
  4. Click OK. A confirmation message appears.
  5. Click Yes. The barcode is updated.

Change link 

The Change link function is located in the Item details screen menu at Item > Change link. When an item is linked to the wrong title, Change link allows you to link the item correctly. When the link is changed, the item and all of its lending history is transferred to the correct title.

Change an item link:

  1. Navigate to the Item details screen of the item you would like to update. 
  2. Go to Item > Change link. The Item to another title screen appears.
  3. Click Search. A Catalog screen appears.
  4. Search the catalog to select the correct title.
  5. Click Select at the bottom of the catalog screen. The title is added to the Link to title field.
  6. Click OK. Once the link is changed, the item is assigned the SCAT of the selected title. The policy and placement data are recalculated.
  7. Check the spine label to ensure that it corresponds with the new title information. If necessary, generate and print a new label.

To title 

The To title function is located in the Item details screen menu at Item > To title. This function is used to open the catalog title screen for the current item in a new window. If a catalog window is already active, the title is displayed in that window.

Status

Functions under the Status menu affect the status of the item.

Discard 

The Discard function is located in the Item details screen menu at Status > Discard. If authorized and the item status allows, you can discard the active item. Only items from the branch that you are signed in as, or from branches that are part of the same VSM group as the branch you are signed in as can be discarded. See Branch groups for more information

To discard an item:

  1. In the Item detail screen of the item you want to discard, go to Status > Discard. The Discard reason window opens.

     Note: If you are discarding an item that is the only copy associated to the title, you will receive a confirmation message. Click Yes to continue.

  2. Select a reason for discarding the item from the list:
    • Discard
    • System use only   Note: This field should not be used by US libraries. 
    • Duplicate copy
    • System use only   Note: This field should not be used by US libraries. 
    • Damaged
    • Lost 
    • Missing
    • Outdated
    • Replaced
    • Superseded
    • Other
    • Zero/Low circulation
  3. Click OK. The item status is updated to Discarded. The reason for discard appears in parentheses next to the status.

Once an item has been discarded, you have the option to undo the action:

  1. In the Item detail screen of the item you want to recover, go to Status > Undo discard action.
  2. Click OK to confirm. The item status changes to In; the item cannot be set back to its previous status (i.e., loan or transport).

Missing 

The Missing function is located in the Item details screen menu at Status > Missing. The Missing feature allows you to report an item that is in your collection as Missing. If the item is found and checked in, the Missing status is removed. Items with status B, D, R, K and, T can be reported missing.

To mark an item as missing:

  1. From the Item detail screen of the item you want to mark as missing, go to Status > Missing. A confirmation message appears.
  2. Click Yes. The item status is updated to M - Missing.

When a missing item is turned in, when it is checked in a message appears, Item was missing. Click OK. The item status will update to Available, or if it is on hold, an action message will appear.

Add to billing procedure 

The Add to billing procedure function is located in the Item details screen menu at Status > Add to billing procedure. Only items that are owned by your branch and are checked out can be included in the overdue material billing process, unless other authorizations are configured.

  1. In the Item detail screen, go to Status > Add to billing procedure.
    1. If the item is not checked out, a warning screen appears that the item is not lent. You cannot include the item in the billing process.
    2. If the item is checked out, a confirmation message appears.
  2. Click Yes. The item is included in the overdue material billing process. The item status is updated to reflect the change.

If you attempt to add the item to the billing screen again, you will receive a notification that it is already included.

Create replacement cost bill 

To create a desk invoice from the Items menu, select Status > Create replacement cost bill. If the item has not been loaned previously, you can search for a customer to bill. Click OK and select Search customerSearch for the customer to be billed for the item and then follow the steps to Create a Replacement cost bill.

Customer

The functions in the Customer menu provide information about customers related to the item.

To last customer 

Select Customer > To last customer to immediately access the customer account of the last customer to borrow the active item.

To penultimate customer 

Select Customer > To penultimate customer to access the customer account of the customer before the last customer to borrow the active item.

Change

The Change menu opens the edit screens from the Item details screen.

Edit groups 

Select any of the Edit group functions to open the Group window. You can also press the corresponding number on the screen or click into an Item field to access these screens.

Notes

The Notes menu allows you to add and edit notes to the Item. For more information, see Notes.

Overviews

The Item details screen has two overviews, the Print overview from log history and Screen overview from log history. Both overviews pull information from the item's history log.

Close

Close the Item detail screen by selecting Close > Exit. Changes made on the Item details screen are saved when the screen is closed.
