Print item labels

Learn how to print spine labels in the Wise staff client.

Barcodes and spine labels can be generated and printed from several locations in the staff client to fit your library's workflow.

Create and print batches of labels 

Labels must be printed by batch, even if a single label is needed. First, labels are added to a batch, then the batch is printed.

Configure batch settings 

Batch files can be configured so that all labels generated during the Linking process are added to a single batch, or to individual batches, per library staff member, using the system option BATCHPU. Contact your system administrator to configure this option.

  • When the option is enabled, the linking batch is created with the name format: <name>+<branch>+<customerid>+<date>
  • When the option is disabled, the linking batch is created with the name format: <name>+<branch>+<date>

Generate labels and shelf location 

The menu option Generate location, label per item allows you to generate an item location according to the latest information in the title description and write that data to the catalog. This same information can also be written to a batch file to print associated labels for book locations.

  1. Go to Items > Labels > Generate location, label per item. The Generate Label/Location window opens.
  2. Make a selection:
    • Start new batch. The default setting, this option allows you to include the labels file. The system generates a file name in the form of YYYYMMDD_HHMMSS.
    • Add to batch. This option allows you to add items to an existing batch. Select the batch name from the drop-down menu.
    • Only generate (no labels). Use this option if you wish to only generate locations and not print labels. This option is helpful if you are checking a large number of items to confirm that they have the correct label.
  3. Scan or enter the item barcode. The item location information is populated on the screen and added to the print batch if that option is selected.
    • If you do not have the item barcode available, use the Search button to search the catalog to locate the item.
  4. If the label was added to a batch,  the labels can be printed via Print item or customer labels.

If an item's location is incorrect, it can be corrected and re-scanned. This will update the information in the batch and only one label will be printed.

If the content of the Volume number is edited in the window, the change is saved for the item. Magazine, yearly volume, and periodical labels are printed with the period in the volume number field if the period field is blank for the item.

 Note: Printing spine labels for items in the acquisition process can sometimes yield incomplete prints. It is better to print labels once the items have the status In.

Generate item or customer labels 

The Generate item or customer labels function allows you to enter item or customer barcodes to print one or more labels. These might be used for collection labels, barcodes, address stickers, or other purposes.

This option should not be used to print newly generated spine labels. It is intended for manually designed placement labels.

You cannot specify the label type until the print process is initiated.

  1. Go to Items > Labels > Generate item or customer labels. The Generate item labels window opens.
  2. Make a selection:
    • Start new batch. The default setting, this option allows you to include the labels file. The system generates a file name in the form of YYYYMMDD_HHMMSS. Select this option if you know in advance that a specific label must be printed for a specific amount of items.
    • Add to batch. This option allows you to add items to an existing batch. Select the batch name from the drop-down menu.
  3. Enter the Number of labels to print.
  4. Select a label Type, Item, or Customer.
  5. Scan or enter the item or customer barcode. The label is added to the print batch.
  6. Click OK to save and close the batch.
  7. The labels can be printed via Print item or customer labels.

Print labels while linking items 

Labels can be generated when an item is linked to the catalog.

Configure default style sheet 

If you have proper authorization, you can configure your default label style sheets. This must be configured so that the system knows which style sheet to use for labels generated while linking.

  1. In the staff client, go to Branch management > Workplace management > Configuration. The Configuration window opens.
  2. Select the  Peripherals tab.
  3. Make selections from Default label style sheet and Default single label style sheet drop-down lists.
  4. (Optional) Use Link style sheets to default printer to assign which printer is used, based on the selected style sheet.
    1. Click Set. The Edit default style sheet printer window opens.
    2. Select a Printer option from the drop-down list for each style sheet you want to define.
    3. Click OK to save.
  5. Restart the client to implement the changes.

Link and print item labels 

  1. In the staff client, go to Items > Link. The Link window opens.
  2. Click Linking process. The Linking process window opens.
  3. Select P - Print direct label for the second drop-down option.
  4. Click OK to save the setting.

     Note: When this process is selected, you do not need to check the Spine label box to generate a spine label.

  5. Follow the steps to link with an invoice or link without an invoice.

If a printer is connected to the workstation, the labels will print immediately after linking.
