Shelf list

Learn how to create a real-time report of items currently on hold.

The Shelf list provides a real-time overview of what is on hold at the moment it is generated. All items on hold at the time of generating the report with status B (Available) that can be supplied to the hold request network display on the Shelf list. Items with status K (In and linked to a collection) are not included on the shelf list.

Items on the shelf list are supplied to customers of your branch who placed the request via the internet or to other branches within your network.

  1. Go to Hold requests > Overviews > Shelf list. The Shelf list overview screen opens.
  2. Provide overview information. Required fields are marked with an (*) asterisk. 
    Field Description
    Branch* Select the branch for which to generate a shelf list. By default, the branch of the account that is signed in is selected.
    Sorting* Select the sorting order for the overview. The overview can be sorted by:
     
    • K - Shelf (walking route)
    • L - Customer name
    • N - Customer number
    • P - Location
    • R - Hold request date
    • T - Title
    Only in local branch* Select whether the list is for requests that will be picked up in your branch or sent to other branches in the network:
     
    • 0 - No, all items are displayed that can be supplied to the network
    • 1 - Yes, only items that are on hold for pick up at your branch are displayed
    Type* Select the method by which the hold was placed: 
     
    • E - Request ILL
    • R - Reservation

    You can also select how you would like to order your selected hold type:

    • Coder order (default)
    • Description order
  3. Click Create report. The report is generated in a new browser window.
    • The Shelf list overview provides the following information:
      • Location - shelving location in your library where the item is located    
      • Title - the title of the requested item
      • Author - the author of the requested item
      • Item barcode - the barcode of the requested item
      • On-location - the time and date that the item arrived at your branch
      • Material type - the material type of the requested item
      • Hold - the hold request number
      • Type - method by which the hold was placed
      • Customer - the customer ID
      • Days - number of days since the request was placed
      • To branch - the branch to which the hold is being transported. If it is your own branch, a dash will appear in this field
  4. Print the shelf list so that items can be retrieved. 

     Note: Keep in mind the following when pulling the shelf list:

    • Due to the real-time nature of the Shelf list, the items should be pulled as soon as the list is printed. This will prevent duplicate work being done by other staff. In addition, the shelf list should be printed and processed immediately before transportation/expediting/inventory so that items for other branches can be included immediately. The shelf list can be consulted throughout the day for hold requests by your own customers who have placed holds via the web.
    • If a hold request is canceled, the return date is set to the current date. If there are multiple copies of a reserved material available in the library, all of the items are included on the shelf list. It does not matter which item is pulled from the self to fulfill the request.
    • If a customer tries to check out an item on a current print list, a notification will appear on the check out screen. Library staff can override the hold or notify the customer that the item is not available for them to check out.
    • Items with status D - Checked in are not included on the shelf list. This is to allow time for library staff to process the request.
    • If the system option KASTINZ is enabled, reference items will appear on the shelf list. 
  5. After a shelf list item is removed from the shelf, check it in using Check-in shelf list items function. The item is assigned a new return date. An alert appears on the screen with the name of the customer or branch where the item should be transferred.
