Discard items

To discard a batch of items in one action, see Batch changes.

Discard guidelines

To enable discard functionality in the Wise client, the system option AFSTATU must be set to Yes. Contact OCLC Support for assistance. 

Items from your own branch can be discarded. Items from other branches that are part of the same VSM group as the branch that you are signed in as can also be discarded. See Branch groups for more information. 

The system role AFSCHRIJVEN is required to discard items with a discard block. When an item with a block is discarded at the service desk, it is assigned the status of AFB (block) instead of AFS (discard). If the system role has not been applied to the account discarding an item, items with the following statuses must be checked in before they can be discarded:

Status Description
 U Checked out to a regular customer
TA or TN Linking process. Only staff members with Order Management authorization can discard these items
R Hold requests shelf
T Transport, if the item is in transport to another branch

Items with the following statuses can be discarded: 

Status Description
B Returned
F Loaned to an administrative card/special borrower
M Lost, unless the item is on a bill
T Transport, if it concerns an item belonging to your branch
I The item is on order, this immediately cancels the order
V Sale, the item can no longer be sold

Discard an item

  1. Go to Items > Discard. The Discard window opens.
  2. Select a Discard reason from the drop-down list:
    • A - Discard
    • B - System use only   Note: This field should not be used by US libraries. 
    • C - Duplicate copy
    • D - System use only   Note: This field should not be used by US libraries. 
    • K - Damaged
    • L - Lost
    • M - Missing
    • O - Outdated
    • R - Replaced
    • S - Superseded
    • T - Other
    • Z - Zero/Low circulation
  3. Optional. Check the With confirmation to check for holds on the item and/or Report last item with title to check whether this is the last copy of the title in your collection. Check To Sale if the item will be sold upon discarding, see Sell a discarded item.
  4. Scan or enter the item barcode. The title information is populated. If either of the boxes from step 3 are checked, a confirmation message will appear if either condition applies.
  5. Click Discard. The item is discarded.
  6. Optional. Repeat the process for additional discarded items.
  7. Click Quit. A note appears displaying the total number of items discarded.

After a few minutes, the server will update and the status of the item will display as discarded. Discarded items appear in the catalog for 30 days. After that, items remain in the catalog but can only be searched using Items > Search.

 Note: choosing Items > Search will lead to view item.

Discard permissions

If the user has permission to discard items the following conditions must also be met in order for the user to proceed with the discard:

  • Branch level permission: Assign Discard items role (15-0-0)
    • The user must be signed into the owning branch of the item OR
    • The placement branch of the item
  • Library organization level permission: Assign Discard items role (15-15-0)
    • The owner of the item must be part of VSM group of the logged-in branch
  • System level permission: Assign Discard items role (15-15-15)
    • The owner of the item must be part of VSM group of the logged-in branch

If the user is currently logged in under the Acquisitions branch (branch has been assigned category "K" under Wise > Items and Locations > Local location management > (PLT) Location/shelf) the following conditions must also be met:

  • The user must have discard permission on System / instance (15-15-0) or (15-15-15)
  • The legal owner of the book must be part of VSM group

Discard an item to sell 

If the discarded item will be moved to a library sales shelf, this can be indicated in the discard process.

  1. Go to Items > Discard. The Discard screen appears.
  2. Select a Discard reason from the drop-down list.
  3. Optional. Check With confirmation to see if there are any holds on the item and/or Report last item with title to check whether this is the last copy of the title in your collection.
  4. Scan or enter the Item barcode. The title information is populated. If either of the boxes from step 3 are checked, a confirmation message will appear if either condition applies.
  5. Check the box To Sale and select a sale amount from the drop-down menu. The Discard button changes to To Sale.
  6. Click To Sale. The item is discarded. The status of the item is changed to V - Sale and Location field is updated to say: Item is for sale.
  7. Optional. Repeat this process if additional items are discarded.
  8. Click Quit. A note appears displaying the total number of items discarded.

Sell a discarded item 

Discarded items that are marked for sale can be sold via the Lending screen.

  1. Go to Check-out.
  2. Scan or look up the customer account.
  3. Scan or enter the discarded item barcode. A confirmation message appears that the item is marked for sale.
  4. Click Yes. The item status is updated to Sold and the note field is updated to display Sold.

Unsold sale items 

To discard unsold sale items, repeat the Discard an item process. The status will update to A- Discarded.

Cancel a discard

Once an item has been discarded, you have the option to undo the action:

  1. In the Item detail screen of the item you want to recover, go to Status > Undo discard action.
  2. Click OK to confirm. The item status changes to In; the item cannot be set back to its previous status (i.e., loan or transport).

RFID security disabled

If you use RFID, the Discard screen will include an option to disable RFID security. When you discard items, the security tag can be immediately disabled by checking this box.
