Configure customer messages in Wise

Learn about the configuration steps needed to use customer notifications in Wise.

The Wise system has the ability to send a variety of notification types to customers, based on library preferences. Most messages are automatically sent to customers, based on specific triggers within the system, for example, when a hold request is ready for pick up. Other notifications, such as material replacement bills, must be reviewed via the Notifications menu in the staff client.

Before your library begins using Wise, your library will work with your implementation manager to identify which messages should be configured in the system. For a full list of possible notifications, see Notification types. You can add, edit, or remove notification options after they are configured using the information below.

Configure delivery preferences

Notification delivery options are configured in the Wise configuration manager.

Message preference configuration

  1. In Wise configuration manager, go to Products and Services > Memberships > Card configuration > Message preference configuration.
  2. Click Open next to your library organization.
  3. Click New at the top of the screen.
  4. Configure information on the notification tabs. Each tab represents a different Notification class.
    1. Select a tab. The messages for that notification class display on the screen.
    2. Enter the codes of the Notification types available for customers to select in the field on the left for each message type. Enter each notification type code with no spaces or characters between each symbol. Example: If the customer can select to receive a new arrivals alert via email or inbox, enter "MI" in the field.
    3. Enter the default Notification type code in the field on the right for each message type. If the customer does not change their message preferences, this method will be used to send the message.
    4. Repeat the configuration on each Notification class tab.
  5. Click OK to save.

Enable replacement cost billing notifications 

Notifications for replacement cost are enabled in the Wise configuration manager at Products and Services > Memberships > Card Configuration > Replacement cost billing process. The Reminder bill fields contain settings for sending notifications for replacement cost bills.

  1. In Wise configuration manager, go to Products and Services > Memberships > Card Configuration > Replacement cost billing process.
  2. Click Open next to your library organization.
  3. Click New at the top of the screen.
  4. Provide information for the Replacement cost billing process fields.
  5. Click OK to save.

Enable overdue materials billing notifications 

Notifications for overdue materials are enabled in the Wise configuration manager at Products and Services > Memberships > Card Configuration > Overdue materials billing process.

  1. In Wise configuration manager, go to Products and Services > Memberships > Card Configuration > Overdue materials billing process.
  2. Click Open next to your library organization.
  3. Click New at the top of the screen.
  4. Provide information in the Overdue materials billing process fields.
  5. Click OK to save.

Link options to a Membership definition 

After all delivery options have been configured, they can be linked to each membership. Memberships are defined in the Wise configuration manager at Products and Services > Memberships > Membership definitions

systemWise notification settings 

To enable notification types and define notification texts, settings must be configured in the Wise configuration manager at systemWise > Messages > Messages.

Configure notification types 

Notification types can be enabled to send in the Wise configuration manager at systemWise > Messages > Messages > System table.

To add a new message type:

  1. Navigate to systemWise > Messages > Messages > System table.
  2. Click any row. The Message editor screen opens.
  3. Click the New radio button in the middle of the page.
  4. Fill out the System table fields.
  5. Click OK to save.

Configure notification texts 

Once you have determined which notifications will be sent, you must enter the text of those messages in the Wise configuration manager. Notification texts are defined at systemWise > Messages > Messages > Texts. 

To add a new text:

  1. Navigate to systemWise > Messages > Messages > Texts.
  2. Click any row. The Message texts screen opens.
  3. Click the New radio button in the middle of the page.
  4. Fill out the Text fields.
  5. Click OK to save.
