New request

Learn how to create a new ILL request in the Wise staff client.

The New request option is used to request an item on a customer's behalf from other libraries. A new request can be created as long as a request ID is available in the system. 

Create a new request

  1. Go to Items > Request items > New request. The New request window opens.
  2. Provide information about the request:
    Field Description
    Media Select the media type.
    Title Enter the title.
    Author Press tab or click the ... button to the right of the field to search for the author name. If the author is not already in the system, type it in the field and click OK. The new author will be added.
    Material type Select a material type. If the (TABIBL) ILL table is configured in the Wise configuration manager, the RMT code configured will be pre-selected. 
    SCAT Select a statistical category. If the (TABIBL) ILL table is configured in the Wise configuration manager, the SCAT code configured will be pre-selected. 
    Supplemental material If applicable, select supplemental material type.
    Search customer/Customer

    Click Search customer to look up the requesting customer's account. Select the customer from search results and click OK. The customer's name and account number are added to the Customer field.

    Request ID Enter an identification number for the request. Enter a question mark (?) to save as a conditional request.
    Costs

    If there are costs to reserve the item, select:

    • Yes: The costs are charged according to the ILL settings for the material types, as defined by your library.
    • No: No placement and delivery costs are charged.
    ILL fee

    If there is a fee to borrow and transport the item, enter the amount that must be charged. Use this field only if this amount is different than the ILL loan fee set by your library's policies. ILL loan fees should only be entered when creating a request or when directly entering an ILL item linked to a hold request. Once the request/hold request has been placed, the fee cannot be edited.

    If the field is left blank, the default ILL fees are charged, according to the holds method.

    If an amount is provided, this overrules the default ILL cost.

    Supplying system Select from the drop-down list. This list is maintained in Wise configuration manager. For more information, see Add a new supplying branch.
    Pick-up branch Select the branch where the customer will pick up the item when it arrives. The most recently selected branch will automatically appear in this field, but can be changed.
    Note Enter any comments about the request. This comment is printed on the request slip. Limit 80 characters.
  3. Click Save to save and close the request window, or Next to create another request.

View new requests

Via Customer administration

To view the request on the customer account:

  1. Search for the customer who requested the ILL item.
  2. Go to Customer > Holds. The screen displays a list of requests. In the Type column, ILL requests display as External request.
  3. Double click on the title to view or edit request details.

Via Hold requests

To view requests at a system or branch level, go to Holds > Show holds. For more information, see Show hold requests.

Like regular hold requests, ILL requests are included in reports and overviews.
