Customer administration screen layout

Find information about the layout of the Customer administration screen.

Customer information appears when you search for a customer and double-click on the customer account.

Customer block

The top section of the customer screen is referred to as the Customer block.

The customer block contains information about the selected customer. To view customer account details, double click anywhere in the customer block. The customer administration screen will open to the Address details tab. To return to the previous screen, click Quit at the bottom of the screen.

Blue bar

The blue bar at the top of the section displays the:

  • Library card number, followed by the customer id number in brackets [ ]. Double click on the library card number to copy it to your clipboard
  • The customer's home branch code, followed by the branch name in parentheses ( )
  • Customer's membership type
  • Expiration date of the customer's membership, or when relevant, the membership fee status

If there are comments about the customer, a note displays below the customer name and address information, in italics. If the customer's account is blocked, that information will also show in this area.

Left column

The left column of the customer block contains the customer's name and contact information. Below the contact information, the status of the membership is displayed. If the membership is not valid, this information displays in red.

Center column

The center column displays the customer's date of birth, last library activity, total number of items checked out, and number of active library cards. If the customer is exceeding the limitations of their membership, such as Last activity or Checked out, the information will display in red to indicate that the customer's account may be blocked. 

 Note: Last activity includes customer activity taking place via SIP2. 

Right column

The right column displays the customer's financial information, including Registration feeFinePunch card, and Credit. As with the center block, if the customer has fines or fees that exceed the limitations of their membership, this information will appear in red to indicate that the customer's account may be blocked.

Customer image

If the customer image option is enabled, staff can view, add, change, and remove an image from customer records. Staff with permission to view images will see an image box in the right corner of the Customer administration screen.  

Contact Implementation for assistance configuring this option. The following roles allow staff to work with customer images:

  • Manage customer image: Allows staff to manage customer images.
  • Download customer image: Allows staff to download a stored customer image.

Membership fee status

If the customer's membership is nearing its expiration date or there are other notable details about the membership, that status is indicated in the blue bar at the top of the customer block.

Status Definition
New Customer is new and has not yet paid a membership fee.
Invoiced through An invoice has been generated for the account through the indicated date.
Reminder The new membership fee period has already begun and the customer has not yet paid.
Delinquent Similar to reminder, but Delinquent status is assigned when the membership fee has not been paid after a certain amount of time, as defined in Wise configuration manager. Customers who are delinquent in paying membership fees are blocked until the fees are paid.
Normal The customer has paid their membership fee.
Online registration, phase 2 Customer is registered, data is verified, but the customer has not paid yet. The card will be blocked until a payment is made.
Online registration, phase 1 Customer has registered online. The registration process is pending, required information has not been received/verified.
Invalid: Banned Customer has been deleted as a member and is banned.
Invalid: Canceled Customer has given up membership but is still included in the system. Customers with Delinquent status who have not paid after a defined period of time are

All statuses with the exception of Invalid: Banned are automatically generated by Wise. The membership fee status is followed by the invoicing period. Depending on the membership fee status, you can see the month/year up until which the payment has/has not been received.

Messages

When a customer account is accessed, if there are outstanding issues about the account, a message will appear in a pop-up window.  Messages may include:

Message Description
Blocked account messages
Session-ID unknown Appears if the account is unknown to the system. Try re-scanning the customer's library card or search for the customer using a different method.
No review mode This appears for special customers
This customer has the status of "deleted" The customer has been removed from the system.
This is an old (labeled) customer card The customer's card cannot be accepted by the system.
Customer is from a different branch The customer is not part of your library system and cannot be accepted by the system.
Override available
Customer is from a different branch. Would you like to continue? If your branch accepts customers from other branches in your library system, click Yes.
Customer card is blocked; address is incorrect. Would you like to continue? If you choose to continue your current action without updating the customer's address information, click Yes.
The status of the customer is incorrect. Would you like to continue? To override a blocked account, click Yes.
Address is incorrect. Would you like to continue? If you choose to continue your current action without updating the customer's address information, click Yes.

 Note: These messages may differ, depending on the role of the individual using the system. For more information about configuring who can see customer messages, see Service desk profiles.

Messages about customers can also be added by library staff and will display when a customer's account is accessed. For more information, see Notifications tab.
