Areas of interest configuration

Learn how to configure Areas of interest within My Account.

Areas of interest are acquisitions profiles configured based on topics chosen by your library. Areas of interest topics appear within My Account as options that customers can subscribe to email alerts for within Notification preferences. When a user subscribes to an Area of interest, they receive an email containing information about newly acquired materials that meet the interest criteria. 

Areas of interest also appear in the web catalog within New arrivals profiles, which display newly acquired materials organized by areas of interest.

Areas of interest are defined within the Wise configuration manager.  For more information on making changes to existing Areas of interest configurations, see Updates to Areas of interest configurations below. 

Acquisitions profile configuration

Acquisition profiles can be created based on the areas of interest of library customers. For example, a profile of home and garden titles might include interior design books, gardening books, and cookbooks. 

To create or edit an acquisition profile:

  1. In the Wise configuration manager, go to OCLC Wise > Catalog > Products > Profiles > Acquisition profiles.
  2. Click New to create a new profile, or click Detail next to an existing profile to change it. The Profiles window opens.
  3. Enter profile information. Click Change to edit an existing profile.
Field Description
Profile type Automatically filled by the system (APSSTD).
Profile A unique 3-digit code.
Name The name of the profile. This is the text description that appears in the web catalog and staff client.
Type Automatically filled by the system (P - Profile).
Order

Enter a four-digit number to determine the order of the acquisition profiles as they appear in the web catalog. The first two digits must match the menu that the profile falls under. 

Example: An acquisition profile that falls under menu group 0100 will need to start with 01. The first profile displayed is assigned code 0101, the second code 0102, and so on. 

Minimum age Minimum age for customers to subscribe to the profile. The profile will not appear in the selection list for customers below the minimum age.
Please do not use this yet Check this box to hide the profile in the web catalog and staff client.
Show only in webcat (no subscription) If checked, the acquisition profile is view only in the web catalog. 
Only for these networks If this profile is only for one or more particular acquisition networks, enter the network code(s), separated by a tilde (~). The acquisition network codes can be found in Networks. If this profile can be used by all networks, leave this field blank.
Not for these networks If this profile is not intended for one or more particular acquisition networks, enter the network code(s), separated by a tilde (~). The acquisition network codes can be found in Networks. If this profile can be used by all networks, leave this field blank.
Selection period The number of days that an item will stay within this acquisition profile before it is phased out. 
  1. Click OK to save.

Add profile elements to the acquisitions profile 

After an acquisition profile is created, you must add the desired elements to the profile to indicate which types of titles should appear in the list. To add elements to an acquisition profile:

  1.  In the Wise configuration manager, go to OCLC Wise > Catalog > Products > Profiles > Acquisition profiles.
  2. Click Open next to the profile to which you want to add elements.
  3. Click New. The Profile elements window opens.
  4. Enter profile information:
Field Description
Profile Automatically filled by the system with the name of the profile.
Sequence number Enter a number for the element, this is used to organize the selected elements.
Category

Select the title category for which this element will be defined from the drop-down list.

For example, T09 - Media type, to assign specific media types to this top list.

Operator

Select the way in which which the Category will be determined:

  • 01 - Equal to
  • 02 - Not equal to
  • 03 - Begins with
  • 04 - Does not begin with
  • 10 - At most
  • 11 - At least
Values

Manually enter the desired values of the selected category. Click Add after each value is entered to add it to the Values list, or enter multiple values separated by a pipe (|).

 Note: A series of values can also be entered, for example, if the Category 23 - SCAT is selected, a range of scat values such as 1000-2000 can be entered.

  1. Click OK to save.
  2. Repeat steps 3-5 to add more elements to the acquisitions profile.

Set up acquisition menu groups

New arrivals profiles can be used in the web catalog to display your library's newly acquired materials, based on areas of interest. The (G_APS) New arrivals table consists of an overarching Acquisition menu structure table. Within this table, new arrivals can be divided into categories. Each category is assigned one or more acquisition profiles to inform the types of titles to include in the group. For example, a category for Youth fiction could contain the acquisition groups Picture Books, Elementary level books, and Children's books.

Create an Acquisition menu group 

To create a new group:

  1. In the Wise configuration manager, go to OCLC Wise > Catalog > Products > Profiles > (G_APS_) New arrivals - main menu.
  2. Click Open next to Acquisition menu structure.
  3. Click New. The Acquisition menu groups window opens.
  4. Enter Acquisition menu group information:
    Field Description
    Type Automatically filled by the system (APS).
    Classification Automatically filled by the table (STD).
    Menu group Enter a unique, 4-digit menu group code. This code should follow a logical structure. Numbers 00-99 can be used.
    Description Enter a description of the menu group. This will display in your web catalog.
  5. Click OK to save.

Add acquisition profiles to a menu group   

After a menu group is created, acquisition profiles must be added to indicate which types of titles should appear in the group.

To add profiles to a group:

  1. In the Wise configuration manager, go to OCLC Wise > Catalog > Products > Profiles > (G_APS) New arrivals - main menu.
  2. Click Open next to Acquisition menu structure.
  3. Click Open next to the Acquisition group to which you want to add profiles.
  4. Click New. The Acquisition menu codes window opens.
  5. Enter Acquisition menu codes details:
Field Description
Type Automatically filled by the system (APS).
Classification Automatically filled by the system (STD).
Menu group Automatically filled by the system (the menu group code of the selected group).
Menu code A unique, 4-digit menu code. 
 

 Caution:  To ensure that the acquisition profile is associated with the correct menu group, the first two digits of the code should be the same first two digits as the associated menu group code. The third and fourth digits will dictate the order in which menu codes appear in the table.

Example: If the Menu group code for an Acquisition menu group is 0100, the acquisition profiles added under that group will need to be assigned a menu code starting in 01.

  1. Click OK to save.
     

 Note: New arrival profiles are updated during the nightly system process, however the web cache may prevent updates from displaying for over 24 hours.

Enable Areas of interest in My Account

Areas of interest are enabled in the Wise configuration manager at My Menu Configuration. To enable Areas of interest:

  1. Navigate to OCLC Wise > Products and Services > Memberships > Membership Process > My Menu configuration.
  2. Select the appropriate My Menu configuration type and click Detail. The My Menu configuration window opens.
  3. Select the checkbox Allowed to have new arrivals subscription.
  4. Click Save

Configure Areas of interest messages

After Areas of interest are enabled, messages must be configured and enabled to ensure customers receive updates. To configure message types:

  1. Within the Wise configuration manager, navigate to systemWise > Messages > Messages.
  2. Navigate to the System table tab and click on any row. The message editor opens. 
  3. Click New to configure a new message type. Define the following required fields, all others can be left as-is: 
    Field Description
    Branch Type 0000 to define the message at the system level.
    Class Select Alerts from the drop-down menu. 
    Function Type TT in the text box.
    Layout Select Email from the drop-down menu.
    Text group Type 01 in the text box.
  4. Click OK to save.

  5. Navigate to the Texts tab. 

  6. Find and click the newly created message type. The Message texts editor opens. 

  7. Click New to configure new message texts. Define the following required fields: 

    Field Description
    Number 

    The number associated with where the text should appear in the message.

    • 1 - Subject line
    • 2 - Salutation
    • 3 - Body
    • 4 - Body
    Text Define the text of the message section. 
  8. Click OK to save.

  9. Repeat steps 5-8 for the additional message text numbers. 

Enable the Areas of interest message job

To enable the automatic sending of Areas of interest emails, a job must be enabled on the server. Contact OCLC Support for assistance. 

Updates to Areas of interest configurations

If Areas of interest have been previously configured without the first two digits of the menu group and menu code matching, and/or if the first two digits of the Order set in the Acquisition profile do not match the first two digits in the menu group, these settings will need to be reconfigured to ensure that New Arrivals and Areas of interest display correctly in the OPAC. 

To reconfigure existing Areas of interest:

1. Create new Menu groups to replace existing groups

 Caution: The configuration must be completely redone whenever menu structures are changed in order for New Arrivals and Areas of interest to display correctly in the OPAC. 

  1. In the Wise Manager, go to Catalog > Products > Menus > (G_APS) New arrivals - main menu.
  2. Click Open next to the Acquisition menu structure line. 
  3. Click Detail next to the existing Acquisition menu group to be updated. 
  4. Click Copy and create a new menu, making sure that the Menu group is a four-digit code. 
  5. Repeat steps 3 and 4 for any other menu groups that need to be updated. 
  6. Refresh the manager and navigate back to the list of menu groups. 
  7. Click Detail next to the original menu group and then click Remove > OK to delete the original group. Repeat for any additional menu groups that have been updated. 

2. Update any existing Acquisition profiles

  1. Go to Catalog > Products > Profiles > Acquisition profiles.
  2. Click Detail next to the profile to be updated. 
  3. Click Change and enter a four-digit Order number. The first two digits must match those of the Menu group that it falls under. 

Example:  An acquisition profile that falls under menu group 0100 will need to start with 01. The first profile displayed could be assigned code 0101, the second code 0102, and so on. 

  1. Once the Order has been updated, click OK
  2. Repeat steps 2 to 4 for each Acquisition profile to be updated. 

 Note:  Changing the Order code on existing Acquisition profiles only updates the categories that display on the New arrivals page. If existing profiles are updated, the Acquisition profiles listed under the newly re-created Menu group(s) will still need to be replaced in order for Areas of interest to populate in the OPAC under Notification preferences > Areas of interest (see below workflow). 

3. Replace the Acquisition profiles listed under the new Menu group(s)

 Caution: Even if the profiles appear to match the Menu group, they will need to be re-added whenever a new menu is created to replace an existing menu. 

  1.  Go to Catalog > Products > Menus > (G_APS) New arrivals - main menu.
  2. Click Open next to the first of the new Menu groups that was added.
  3. Click Detail next to the first profile listed for the group.
  4. Click Copy. You may need to rename the profile slightly if the Menu code already matches the existing one.
  5. Repeat steps 3 and 4 for each profile under the group. 
  6. Once all profiles have been replaced, delete the original profiles by clicking Detail > Remove > OK
