View title records

Find information on navigating the title record screen in the Console.

The title record screen in the Console allows users to read and locate title details within the Catalog. From the Catalog, perform a search for a title and click on the title link to open the title record screen. From this screen, you will be able to view a preview of basic title information as well as more in-depth information and place title-level holds.

Place title-level hold

It is possible to place title-level holds from the title record screen. To place a hold:

  1. Click the Place title-level hold button at the top right of the screen.  This will open the Select a Customer window, which will allow you tolocate the customer the hold will be placed for.
  2. Enter your search term in the Simple or Advanced search and click Search.
  3. A new Place hold screen will open. The customer's account information is available in the panel on the left side of the screen.
  4. In the center of the screen, enter the Start and Expiration dates for the hold request.
  5. Under Item, click the Pickup/Delivery drop-down menu to select a location.
  6. Title-level hold should be pre-selected in the Hold type drop-down menu. If the hold type needs to be adjusted, click the drop-down menu to select Item-level hold.
  7. Click Place hold to complete the request.

Title details tab

The title details tab is arranged in the following groupings:

  1.  Navigate the page using the Jump to Section menu on the left side of the screen. 
  2. Expand and collapse each section so that only the information you need is visible or use the Expand all / Collapse all button at the top of the screen to quickly show or hide all details.
  3. Use the Show field hints checkbox at the top of the details table to hide or expose field hints. Field hints are available for fields that may be difficult to interpret.

Edit a title

As of the 8.0.0 release, library staff with permission to make changes to title records can now edit title details in the Console. Editing is limited to Wise title values and does not support MARC editing.

To make changes to a title:

  1. Click the Edit button on the upper-right of the screen. The following values become editable under each section:
  2. Once changes are made, click the Save button to save changes.

SCAT and related Fields

Information on the SCAT and additional related fields for a title can be found here. The following information will display if it is available for a title:

Field Description
SCAT Generated based on local tables and a type of classification other than Youth.
SCAT Youth Generated based on local tables and the classification of Youth.
Title type The default Title type is "Standard" for a title type with which items are associated and where the items can be regarded as interchangeable. For more information, see Title types.
Youth/Adult Youth and/or Adult. If Youth is selected, the Youth SCAT is used. If the title is both Youth and Adult, both SCAT codes are used.
Material type The material type associated with the title. 
Youth material The youth material type associated with the title, if applicable. 
Media type  The media type associated with the title. This field is required. If the code is missing, Wise will display the BOO code in red. If BOO is incorrect, it will need to be updated manually.
Language The language assigned to the title.
Genre The genre code assigned to the title.

Title Information

This section displays detailed title information. The following information will display if it is available for a title:

Field Description
Title-id The title ID cannot be changed and should be linked in Wise with title, reservation, and item data.
ISBN ISBN information from MARC tag 020 will display here, if available.
Target Audience Audience information from MARC tag 521 will display here, if available.
Publication Details Year of publication statement for periodicals
Edition Edition information from MARC tag 250 will display here, if available.
FIC/NFIC Non-fiction/Fiction or neither. If both are selected, only Non-fiction is used to determine the SCAT.
Local note This note will be displayed to patrons in the OPAC.
Attachment Denotes if there is an attachment associated with the item.
Price The retail price of the title.

Title control and display

This section contains title-level settings that can be updated by library staff.

 Note: Staff will not be able to update settings in this section until the 8.0.0 release.

Field Description
Public block Toggle setting ON or OFF. Controls if patrons are able to see this title in the catalog.
Allow holds Toggle setting ON or OFF. Controls if holds are allowed to be placed on the title.
Order block Toggle setting ON or OFF. Controls if additional orders should be blocked for this title.
Move to back catalog automatically Toggle setting ON or OFF. Indicates if the title should be moved to the back catalog once all the items are removed.

Staff title edits

This section displays information related to changes made to a title by library staff. The following information will display if it is available for a title:

Field Description
Source of import Source of the title description.
Previous OCN The current OCN value is stored under the OCN field, but all prior OCN values will be stored and displayed under the Previous OCN field.
Last edited by Shows the username of staff member who last edited this title record.
Internal note

This field is intended to allow staff to add notes that are only visible within the Console. Notes entered here will not appear in the Client or customer-facing catalog.

 Note: This value is available only in the Console.

Message Any message added to the title via the Title changes screen will display here. Messages are only visible to library staff.

Group tab

 Click on the Group tab to view all items linked to a title. A list of items linked to a title will display under each Group tab. Click on an item's barcode in the list to view an overview of basic title information, as well access more in-depth item information, view and add item notes, and to view the item's log history.

Each Group tab also provides a count of the total number of items linked to a title as well as the number of items currently available for hold under each group. These counts are noted in parentheses  after each group number:

Item overview

At the top of the page an overview of basic item information will display. Information available in this section includes the item barcode, title, branch, and shelf location.

Place item-level-hold

It is possible to place item-level holds from this screen. To place a hold:

  1. Click the Place item-level-hold button at the top right of the screen.  This will open the Select a Customer window, which will allow you to locate the customer the hold will be placed for.
  2. Enter your search term in the Simple or Advanced search and click Search.
  3. A new Place hold screen will open. The customer's account information is available in the panel on the left side of the screen.
  4. In the center of the screen, enter the Start and Expiration dates for the hold request.
  5. Under Item, click the Pickup/Delivery drop-down menu to select a location.
  6. Item-level hold should be pre-selected in the Hold type drop-down menu. If the hold type needs to be adjusted, click the drop-down menu to select Item-level hold.
  7. Click Place hold to complete the request.

Item details tab

The Item details tab contains more in-depth information about a title than the Item overview at the top of the screen.

The following information is displayed for each section, if available:

Section Description
Item information

The following information will be displayed in this section if it is available for a title:

Field Description
Item ID A unique, system-generated number that can not be changed.
Item barcode Item barcode number
Item serial number This is taken from the title section Volume designation (the sorting value of the volume designation) or from the subscription accounts.
Publication year Year the item was published.
Branch The branch where the item is located.
Price/Title The price listed in the title record associated with the item.
Item price If the price is 0, a price can be found in the title record.
Order ID The order number for the item.
Status Assigned by the system dependent on the status of the item
Sub-status Assigned by the system dependent on the sub-status of the item
In transit to The branch that the item is currently in transit to.
Notification date The date when the last notification was sent out regarding this item, regardless of the notification type.
Customer
Loans This field displays the number of loans 2+ years previous + last year + this year = total.
Loans last 12 months Here you can see the number of loans over the last twelve months. A renewal is also counted as a loan.
Customer
Customer The last customer to check out the item.
Renewed Counts the number of renewals on the item, updated by the system
Loan date Last checkout date.
Returned date Date that the item was returned.
Borrowed from The branch that the item was borrowed from.
Overdue alert The number of reminders sent to the customer. If the item ends up in the invoicing process, this field will show an N.
Notification type The type of notification that was created for this item. Multiple notifications can be sent in sequence. This field will always display the last type of notification sent.
In-house use
Most recent date The last date that the item was used in-house.
Cumulative count Total number of in-house checkouts of the item.
Held for
Customer The customer that the item is held for.
Branch The branch that the item is held at.
Location

The following information will be displayed in this section if it is available for a title:

Field Description
Location

This information is generated based on underlying sections from multiple tables. This field is updated in real-time when one of the item selections is changed.

If the description of one of the underlying fields is changed, the text is not updated until the system updates.

Shelf information
Shelf The shelf the item is assigned to.
Temporary shelf The temporary shelf the item is assigned to.
Call number The call number assigned to the item.
Head word The head word is generated by the primary author in the title description. If no primary author is provided, the head word uses the first word of the title. 
Inventory date Last date that the barcode/RFID was detected.
Additional details Additional details about the item location.
Show in location Toggle on or off to indicate whether the comment should be included after the location.
Language The language in which the work is presented. 
Age The reading level assigned to the item.
Service desk notification Toggle on or off to to indicate whether a message displays at the service desk. If the comment concerns supplemental materials, use supplemental materials code O.
Storage information For example, for DVDs that are kept behind the service desk. Content that is written in parentheses after the location in the staff catalog.
Storage ID Field is not currently in use.
In storage If this is toggled on the item cannot be removed from the shelf by the public.
Period

If the title is a Periodical or Yearly Volume, the content of this section will appear in parentheses following the location.

Serial number This is taken from the title section Volume designation (the sorting value of the volume designation) or from the subscription accounts.
Volume

If the title is a Periodical or Yearly Volume, the content of this section will be written in the section preceded by Yearly volume.

 Note: If the Year is identical to the volume, only the year displays in the location.

Yearly volume is not printed on labels, but Period is and the serial number is, only if the period is blank.

Material

The following information will be displayed in this section if it is available for a title:

Field Description

Material type

The material type associated with the title. 

Category

Category serves as an abbreviated type classification.

Codes 5 and 6 signify that the item is a Youth item. The item is assigned the youth statistical category and youth material codes.

SCAT

Statistical category, based on the title data.

Generated based on local tables and a type of classification other than Youth.

SCAT Youth

Generated based on local tables and the classification of Youth.

Block

According to the local table, this is a general neutral block.

Block note

A note containing information about the block.
Parts Indicates if there are multiple parts to the item (for example, a two-CD set).
Attachment Denotes if there is an attachment associated with the item.
Blocks

The following information will be displayed in this section if it is available for a title:

Field Description
Discard If toggled on, the item cannot be withdrawn unless processed. The block must be lifted before it can be withdrawn.
Juvenile If toggled on, the item cannot be checked out by youth customers.
Lending If toggled on, lending is not permitted. The item is available for in-library use only.
Block lending up to The date that lending is blocked through.
Hold Displays conditions of hold requests for the item. The available hold blocks are:
  • 0 - No restriction
  • 2 - No external ILL
  • 5 - No ILL
  • 6 - Only branch and network holds
  • 7 - Only branch holds
  • 8 - No holds
  • 9 - Not holdable
Magnetic media If toggled on, the item is security activated with magnetic media.
MARC 21 export If toggled on, the item is excluded from all MARC 21 exports of items.
Public If toggled on, the item is not displayed in the public catalog.
Check-in-sort The copy number of the item.
Lending fee If there is a different price for a customer to borrow the item, it is indicated here.
Minimum age Minimum age of the borrower to be able to check out the items. Minimum is determined by data in the title.
Vendor

The following information will be displayed in this section if it is available for a title:

Field Description
Vendor The vendor who supplied the item.
Owner The branch that owns the item.
Collection information The collection in which the item is included.
Collection owner The compiler of the collection.
Special collection If part of a special collection, it is indicated in this field.
Has relationship with other item

Notification that a relationship has been established between this item and another one. The relationship between the secondary and primary item is displayed, not between primary and secondary item, in connection with system preference.

Due to this relationship, they can follow each other in certain routes, despite individual loans.

Order
Ordered date The date the item was ordered.
Received date The date the item was received.
Invoice
Invoice ID ID number of the invoice for the item.
Budget
Budget Name of the budget for the item.
Budget year Year of the budget for the item.

Item notes tab

The Item notes tab contains any notes associated with the item.

 Note: The ability to add and edit notes will be available in a future release.

Use the panel on the left side of the screen to jump to a section or expand and collapse each section so that only the information you need is visible. You can also use the Expand all / Collapse all button at the top of the screen to quickly show or hide all details.

The following note sections are available:

Section Description
Discard This note is entered when the item is discarded.
Attachment This note is used only when an attachment is included with this title. If the item has supplemental materials code N - Note, the text of this note is displayed at the service desk during check in.
Link The link note is displayed in red when linking and also in the placement window when checking in a new item.
Instruction This note is typically used for binding notes (for instance, for an old item that needs bound). This note is for staff use and does not appear elsewhere in the system.
Memo This note is used for notes about the item (for instance, page 22 was colored on by a patron). This note is for staff use and can be queried in Selections. Selections can also be searched by the presence of a memo (y/n).
Damage This text is displayed at the service desk upon check in. It can also be added by the service desk using the right-click menu for an item from the item overview in the catalog.
Billing

A message entered here is printed on the service desk invoice. The message is printed in the item block, immediately below the barcode.

This note might be used when a damaged item is taken from the shelf and the last borrower is suspected of causing the damage. Without this note, the customer may not know why they are receiving a service desk invoice.

Print The print note is displayed where the items have identification data included with the acquisition of the item.
Claim return This note is used to indicate that a customer claims that the item was returned.

Log history tab

The Log history tab provides an overview of actions taken on an item. Click the chevron to the left of an action to view more details. Click a header to change the sort order of the log. In a future release, users will be able to filter log items.

The following information is available:

Column Description
Log

Item actions are stored in two different logs, but are presented together in this table. The LOG column indicates from which log the action is displayed:

  • lh - actions caused by customers (For example, circulation actions at a service desk, self-service actions, etc.)
  • l2 - any other action that occurs to the item, outside of the service desk or self-service stations (For example,   automatic renewals, cataloging actions, etc.)
Record number If multiple actions are performed at the same time, these are sorted by record number.
Action

Actions with the LOG type l2 include an action code which consists of letters, and a corresponding reason. See Item action codes for more information. 

Actions with the LOG type lh have a number with a fixed meaning:

  • 0 - Sale
  • 1 - Lending
  • 2 - Check-in
  • 3 - Renew
  • 4 - Change date
  • 5 - Check-in again
  • 6 - Cancel loan
  • 7 - Cancel return
  • 8 - Cancel lending
  • 9 - For perusal (checked out to a special borrower)
Reason Reason displays for actions with the LOG type l2. Details for the reason can be viewed in the lower portion of the screen when you click on the action line.
Source

The SOURCE field displays the Menu option used to perform the action. The following options are available:

    B - Service desk
    D - Double Loan Period
    E - Bookmobile
    I - Internet
    L - National lending (not for use in US)
    N - Emergency lending
    S - Sip2
    P - Pubcat
    X - If Shift+F6 is chosen at the service desk, a free check-out/check-in is registered
    Z - Self-service

Date The date and time that the action was logged. One or more actions can be logged for one event.
Return date The return date for the item.
Owner The owning branch number.
Origin The originating branch number.
