Set up triggers

Learn how to set up marketing triggers in the Wise configuration manager.

Create triggers

Marketing triggers are configured in the Wise configuration manager in the (TABMTR) Marketing triggers table. The triggers in Wise are hard-coded in the system and perform in a specific way. However, canceled memberships and membership length messages must be manually configured by your library. For more information about the triggers available in Wise, see Types of triggers.

Membership cancelation reason trigger 

When a customer cancels their library membership, a reason for the cancelation must be provided. Reasons for cancelation are created and managed in the (TABRDL) Reason for unsubscribing table. It is up to your library to determine which, if any, cancelation reasons trigger a marketing action.

To enable the system to automatically send a message to the customer based on their cancelation reason:

  1. In the Wise configuration manager, go to Customers > System tables > (TABRDL) Reason for unsubscribing.
  2. Click Detail next to the reason you want to edit. The Reasons for unsubscribing window opens.
  3. Select Yes for Marketing trigger.
  4. Click OK to save.
  5. You must add a line to the Marketing triggers table for each cancelation reason that triggers a marketing action. Go to SystemWise > Marketing > Triggers > (TABMTR) Marketing triggers.
  6. Click New. The marketing triggers window opens.
  7. Enter trigger information. The Code must be a combination of the letter U + the cancelation reason code created in TABRDL and a description of the trigger.
  8. Click OK to save the trigger.

Length of membership trigger 

The length of membership trigger can be used to create messages regarding customer loyalty, based on their number of years as a library membership holder.

To create a new length of membership trigger:

  1. In the Wise configuration manager, go to SystemWise > Marketing > Triggers > (TABMTR) Marketing triggers.
  2. Click New. The Marketing triggers window opens.
  3. Enter trigger information. The Code must be a combination of the letter L + the number of years the membership has existed. Only codes L01 through L99 can be created. 

     Note: A unique trigger must be created for each anniversary you want to recognize, for example if your library wants to send an email for 1, 5, 10 and 25 years of membership, these codes must be created: L01, L05, L10, L25.

  4. Click OK to save the trigger.

Marketing membership triggers 

Custom marketing triggers can be created for each trigger type so that the system knows when and under which circumstances to send a message.

To configure marketing membership triggers:

Trigger requirements 

  1. In the Wise configuration manager, go to SystemWise > Marketing > Triggers > Marketing membership triggers.
  2. Click Open next to your institution.
  3. Click New to create a new trigger, or click Details next to an existing trigger to edit. Provide or edit the following information:
    Field Description
    Organization This field is populated by the system.
    Marketing trigger Select the marketing trigger type from the drop-down list.
    Sequence number

    In some cases, multiple triggers may be created for the same action, in this case, the Sequence number determines the order in which the actions are performed.

    Membership

    Select a membership type from the drop-down list. Click Add to add multiple membership types to the list.

     Note: Messages are only triggered for valid memberships.

    Requirement 1 Select a requirement for the trigger. These selections are based on MTR codes associated with the condition. The options available depend on the selected trigger.
    Requirement 2 Select a second requirement for the trigger.
    Select an action to be performed when the defined  requirement(s) are met:
    Sign up for campaign Select a campaign from the drop-down list. For more information, see Marketing campaigns.
    OR execute marketing action OR select a marketing action to execute from the drop-down list. 
    OR write customer label OR choose a Write customer label option from the drop-down list. This can only be selected from the free label customer labels. These are customer labels from a main group of 50 or higher.
  4. Click OK to save the trigger.

Requirements per trigger type 

Use the configuration methods described below to configure the requirements and actions for your marketing triggers:

Offer direct debit for a paid library card membership

  • No requirements are used with this trigger.
AEF

Offer to bill by email

  • No requirements are used with this trigger.
AHR

Renew library card account

  • Select the membership(s) that will generate the trigger
  • No requirements are used with this trigger
  • Select the resulting marketing activity
AIN

New library card account

  • Select the membership(s) that will generate the trigger
  • No requirements are used with this trigger
  • Select the resulting marketing activity
AWD

Customer changed their library card account type

  • Select the membership(s) that will generate the trigger
  • Requirement 1 is automatically filled with the selected membership(s)
  • For Requirement 2, select the membership to which the customer is changing
  • Select the resulting marketing activity
AWP

Change of membership per expiration date

  • Select the membership(s) that will generate the trigger
  • Requirement 1 is automatically filled with the selected membership(s)
  • For Requirement 2, select the membership to which the customer is changing
  • Select the resulting marketing activity

Length of membership (library membership)

  • Select the membership(s) that will generate the trigger
  • Only Requirement 2 is used for this trigger. Select the length of membership, in years
  • Select the resulting marketing activity
RET

Retention

  • Select the membership(s) that will generate the trigger
  • Requirement 1 is optional, Requirement 2 is required
  • Requirement 1 - select the number of items the customer has borrowed in the past 12 months. These counts are arranged by a count of five in the following pattern:
    • 000 - no loans
      • 001 - 1-4 loans
      • 005 - 5-9 loans
      • 010 - 10-14 loans
      • And so on, to 500 - 500+ loans
  • Requirement 2 - select the drop in percentage of items borrowed in the past 12 months.
    • 01 - no loans in the peroid
    • 02 - 100%
    • 03 - 50%
    • 04 - 25%
    • 05 - 0%
  • Select the resulting marketing activity

Reason for unsubscribing

  • Select the membership(s) that will generate the trigger
  • Requirement 1 - select a reason for the action to be triggered
  • Requirement 2 - not used for this trigger
  • Select the resulting marketing activity

Birthday

  • Select the membership(s) that will generate the trigger
  • No requirements are used with this trigger
  • Select the resulting marketing activity
WFL

Change of branch

  • Select the membership(s) that will generate the trigger
  • Requirement 1 - branch before the change
  • Requirement 2 - branch after the change
  • Select the resulting marketing activity
WHA

Change of address

  • Select the membership(s) that will generate the trigger
  • Requirement 1 - location before the change
  • Requirement 2 - location after the change
  • Select the resulting marketing activity
