ILL item

Learn how to create an ILL item in the Wise staff client.

When an ILL item arrives at your library and is ready to process, the New request and Link a temporary item steps can be completed in one process using the ILL item menu.

  1. Go to Items > Temporary items > ILL item. The New ILL copy screen opens. This menu looks nearly identical to the Process ILL request screen.
  2. Enter the item information. Fields that appear in gray cannot be edited.
    Field Description
    Item ID

    Scan or enter the item barcode. The ID number is printed on the receipt. Enter to allow the system to generate an ID. This number is determined based on the branch's scanning method.

    External number

    Enter the external item ID from the supplying library.

    When entered, the item ID to be scanned is generated and printed on the slip.

    Media Select the media type. 
    Title Enter the title.
    Author Press tab or click the ... button to the right of the field to search for the author name. If the author is not already in the system, type it in the field and click OK. The new author will be added.
    Material type Select a material type. If configured, select an ILL material type. 

     Note: Default material type values are configured in the Wise configuration manager at OCLC Wise > Holds and ILL > Policy material (RMT) > (TABIBL) ILL

    SCAT Select a statistical category. This may be an ILL specific code, if desired.

    Supplemental material If supplemental materials are include with the item, click on the drop-down arrow and select a material type from the list. Click OK.
    Volume Volume of the item.
    Status If B - On-location is selected in the Status field, the input is complete. The item can be checked out to the customer immediately.

     Note: If the item is accidentally checked in, it is removed immediately because this is a temporary item.

    If R - Hold request is selected in the Status field, the Search customer button is activated. Search for and select a customer. Once a customer is selected, the fields below this section become active
    Search customer Only fill if the request status is R - Hold request. Click Search customer to look up the requesting customer's account. Select the customer from search results and click OK. The customer's name and account number are added to the Customer field.
    Request ID Enter an identification number for the request.

     Note: You must enter a value here in order to locate the request in the system.

    Costs

    If there are costs to reserve the item, select:

    • Yes: The costs are charged according to the ILL settings for the material types, as defined by your library.
    • No: No placement and delivery costs are charged.
    ILL fee

    It there are costs to transport the item, enter the amount that must be charged to transport the item. Use this field if this amount is different than the amount to be charged. Transport costs should only be entered when creating a request or when directly entering an ILL item linked to a hold request. Once the request/hold request has been placed, the transport costs cannot be edited.

    If the field is left blank, the default ILL costs are charged, according to the holds method.

    If an amount is provided, this overrules the default ILL cost.

    Supplying system Select from the drop-down list. This list is maintained in Wise configuration manager. For more information, see Add a new supplying branch.
    Supplying branch The branch delivering the item.

    Name
    Return address
    Address 2
    City

    If a delivering branch isn't available from the drop-down list for Delivering branch, enter the branch manually.
    Pick-up branch By default, the branch to which the item is linked is displayed.  To change pick-up locations, select a branch from the drop-down list.
    Return date

    This field is not required, but can be used to determine a return date for the item. If a return date is entered, the lending period is calculated. The return date can only be entered while entering an ILL item and cannot be edited later.

    Print receipt Select Yes to print a receipt. The receipt includes a barcode for the item number. Select No and no receipt will be printed.
    Note A note about the item. 80 character limit.
  3. Click Next.
    • If the status is B - On location, the item can be checked out to the customer
    • If the status is R - Hold request, a hold request slip is generated. The item is placed on transport and checked in by the receiving branch. The status of the item changes to Transport received and the item must be checked in to ensure that it is placed on the holds shelf for the customer.
  4. Click Next to add another ILL item or click Quit to exit.

     Caution: Once this process has been completed, the item is ready to be checked out. If the item is accidentally checked in, it is immediately removed as a temporary item.

A temporary ILL item can only be looked up in the catalog using the item ID number. If there is a temporary ILL item but no external hold request, the item can be looked up via Catalog > Item number and a hold request can be created based on item number, not the title.
