Float your collection

Learn how to float all or parts of your collection between locations.

Wise allows libraries to float all or parts of a system's collection between all or specific branches.

 Note: If your library is using BCB collection analysis, do not use the process described on this page to float materials. Configure your floating settings in Collection management BCB.

How floating items are handled in the staff client

When items in a collection are set to float:

  • Floating items remain at the branch where they are returned, instead of being put on transit to the owning branch
  • The item Owner remains the same, no matter where in the library system it is placed

When a floated item is checked in, the system:

  • Checks to see if there are any holds on the title. If so, the item is processed to fulfill the hold
  • Updates the Branch location to the location where it was turned in
  • Updates the branch group to that of the branch where it was turned in
  • Updates the shelving location

Configure collections to float

Floating collections can be configured in two ways in the Wise configuration manager, depending on how granular your specifications are for floating materials. For assistance configuring floating collections, contact your system administrator.

 Note: By default, a floating item can only remain at a branch that is not the owning branch for 30 days.

Configure floating collections based on material type

If your library floats its collection across all branches, floating can be configured to work based on material type. These changes are made in the (RMTSYS) RMT table definition. This method allows your library to enable floating in the broadest terms. For more granular configuration options, see Limit floating to specific branches.

  1. In the Wise configuration manager, go to OCLC Wise > Items and Locations > Items > System tables > (RMTSYS) RMT table definition.
  2. Click Detail next to the material type you wish to enable to float at your locations. The Settings at system level for material types window opens.
  3. Uncheck the box Do not float (this box is checked by default when a material type is defined).
  4. (Optional) Enter the minimum number of days a new item must stay at the owning branch before floating in the Minimum days before re-floating field.
     Note: This field is set to 0 days by default.
  5. Click OK to save the change. This material type is now enabled to float.

Configure floating material exceptions

If your library only floats parts of the collection, it is possible to limit the floating collection by material type using the table (TABFLC) Floating collections.

  1. In the Wise configuration manager, go to OCLC Wise > Collections > Floating collections > (TABFLC) Floating collections.
  2. Click New at the top of the screen. The Floating collections window opens.
  3. Provide floating configuration details: 

     Note: If an error appears while adding a new Floating collection, check the RMTSYS table for a permanent floating block per material type. 

    Field Description
    Type Automatically defined by the system - FLC.
    Branch The branch associated with the floating collection. 
    RMT (policy material) Select the material type for which this rule applies from the drop-down list.
    Description Description of the collection
    Block for floating Select Yes to prohibit the material from floating or No to allow the material to float between branches.
    Windowtime new materials  If new materials must remain at the owning branch for a specific amount of time before they can float, enter the number of days the material will not be available for floating.
  4. Click OK to save.

Repeat this process to configure floating settings for any material types that require a floating policy.

Limit floating collections to specific branches

If there are branches within your system that do not participate in floating the collection, it is possible to limit float collections to branches using Networks and branch groups.

Create the branch group

If a branch group for floating collections has not already been created, one can be added to the table (G_VST) Main branch grous (Vxxx).

  1. In the Wise configuration manager, go to OCLC Wise > Management organizations > Networks and branch groups > Branch groups > (G_VST) Main branch groups (Vxxx).
  2. Click New. The Branch window opens. The Type and Classification are automatically filled by the system.
  3. Enter a Main group code. This should be a 4 character code starting with the letter V.
  4. Enter a Description. This is a text description of the group, for example Floating branches.
  5. Click OK to save.
  6. Click Open next to the group that was created. Here, you will add the branches that are part of the Floating branches group.
  7. Click New at the top of the screen. A Branch window opens. The Type, Classification, and Main group are automatically filled by the system.
  8. Select the branch you want to add from the branch drop-down list.
  9. Enter a text Description of the branch (the branch name).
  10. Click OK to save.
  11. Repeat steps 7-10 to add all of the floating branches to the group.

Assign floating permissions

Once a branch group is created, it must be applied to the branch groups permissions table to allow the branches to float materials.  For more information about configuring branch groups, see Networks and branch groups.

  1. In the Wise configuration manager, go to OCLC Wise > Management organizations > Networks and branch groups > Branch groups > (G_VST) Branch groups per branch.
  2. Check to see if the the code VSF  - Accept floating copies of is included in the table.
    1. If the code is not included, it must be added to the table:
      1. Click New at the top of the screen. The Branch classifications window opens. The Type is automatically filled by the system.
      2. Select the Branch group that will float materials from the drop-down list.
      3. Enter a text description for the group (Accept floating copies of).
      4. Click OK to save.
    2. If the code is included, click Detail in the VSF - Accept floating copies of line. The Branch classifications window opens.
      1. Select the Branch group that will float materials from the drop-down list.
      2. Click OK to save.
