Learn how to handle missing and unknown items, lend to guest customers, and check out holds and ILL materials in the Wise staff client.

Wise handles check out transactions differently, depending on the status of the item. As each item is checked out, the system checks for the status and additional information. Depending on the situation, the system may provide a message informing staff or the customer (if they are using self-service) that there is something unusual about the transaction.

Missing items

If a customer attempts to check out an item that was reported Missing (status M) in the system, they can check it out immediately without it having to first be returned.

Unknown items

Similar to on-the-fly lending, if a customer attempts to check out an item that is unknown to the Wise system, a notification will appear on the check-out screen. Staff have the option to allow the item to be loaned or not. 

 Note: If the NO_FLY system option is configured, unknown items cannot be checked out. 

If an unknown item can be loaned:

  1. When the notification window appears, click Yes.
  2. An additional information box appears. Provide the following information about the item:
    • Material code - this will apply the correct lending rules for the item
    • Statistical category
    • Attachment code (if applicable)
    • Volume - indicate the correct number of units (audio CD, for example)

 Note: If the barcode of the active customer is scanned rather than an item barcode, a message will appear stating "Not allowed: Loan number [barcode number] not accepted as item number. 

Guest customers

Borrowing rules apply to guest customers the same as they do to regular library customers. For more information about loaning to guest customers see Guest customer

Check out holds

When a customer has holds available for pick up, they will receive a notification via email, text, or telephone that the item is ready to be picked up. When a customer checks out a held item, Wise confirms in the system that the item is being checked out by the customer who placed the hold.

 Note: If the RSVLEEN system option is configured in the Wise configuration manager, holds cannot be checked out to anyone except the customer who placed the request.

Wise can also be configured so that if a customer attempts to check out an item that is on hold for another customer, library staff can override the hold. If this option is enabled, a notification window appears with the following options:

  • Give and complete the hold - The item is given to the selected customer. The hold is completed and the selected customer has to pay possible hold costs. This scenario might apply if a customer is picking up a hold on behalf of a family member or friend who is unable to pick up the hold on their own. The hold request is marked as complete in the system.
  • Give and do not complete the hold - The item is checked out to the selected customer, but the hold request is not marked as complete in the system. The hold will be reopened by Wise and a new item will be put on hold for the customer who originally requested the item.
  • Not lend - The item is not loaned and is returned to the holds shelf.

Check-out fees

If your library charges a fee to check out materials, a customer may hit their limit when checking out multiple items. When the system option NULLIJN is enabled, the system will allow the customer to check whether loan fees are required for the first item and if the amount charged will cause them to exceed the limit for their membership type. If so, the customer will have to pay fees or purchase credit on their account before they are able to proceed with check-out.

Transport items

Transport items are not lent out and display in the system with the status T - Transport. This status is attached to an item when:

  • a returned hold is intended for another branch
  • a copy originating from another branch is returned to your branch, and the branch to which the copy has to go is part of the network
  • it concerns new items that come from the acquisitions department. These items also have a sub-status: N

Transport items must always be returned. The status will change to O - Received when holds are Received, new items that are returned are in B - Message received status.

Previously borrowed title notification

When configured, a customer can receive notice when they are checking out an item that they borrowed in the past.

 Note: The system option LEENHIS must be enabled within the Wise configuration manager to use this feature.

This only applies to standard titles, and not to multilingual works or magazines. This function can only be implemented when lending history is enabled. See Loan history and Notify if title previously borrowed for more information.

 Note: A notification will not be sent if the item was checked out on the same day.
