Primary and conditional cards

A customer can only have one primary card at a time but can have multiple conditional cards. The library decides whether a customer can be given one or more conditional cards in addition to their primary card. Having a conditional card does not enable the customer to borrow additional materials. The system considers the customer and not the card to determine borrowing rights.

The number of the primary card is displayed on customer overviews and printed messages. It also appears at the top of the customer bar. A "no card number" message is displayed when a customer does not have a card or if the card is invalid.

When the barcode of a conditional card is scanned, the account of the customer who is associated with the card is accessed. The person associated with the account is responsible for the card and its use. Items checked out with a conditional card are registered under the number of the primary card, as are the fees and fines connected with the use of the conditional card.

Note: A conditional card should not be confused with a linked membership. This is an extra membership and not an extra card, as is the case with a conditional card.

Share cards

Share cards are a type of conditional card. Share cards are used to allow customers to share their account with a friend or family member. Share cards can be added to a customer account, or primary cards can be changed to a share card.  Share cards have the card status of Active.

Block and unblock cards

When a library card is reported lost or missing, it can be blocked. As long as the card is blocked and no new card has been issued, the customer cannot borrow or log in to the web catalog.

Note: If the card has been reported missing by the customer from within My Account, the card must be unblocked using the Card reported missing by customer option within the Properties tab in Customer administration.

To block a card from the Cards tab:

  1. Click Change at the bottom of the screen.
  2. Double-click on the line of the card that you want to block.
  3. Select Block.
  4. Click Save at the bottom of the screen. The card is blocked and the Status changes from Active to Blocked.

To unblock a card from the Cards tab:

  1. Click Change at the bottom of the screen.
  2. Double-click on the line of the card that you want to block.
  3. Select Unblock.
  4. Click Save at the bottom of the screen. The card is unblocked and the Status changes from Blocked to Active.

Replace cards

Replace cards are a conditional card type used to indicate that a library card has been replaced. Replace cards are distinguished by the card status Replaced.

Note: When a primary card is marked as replaced, the card type changes to conditional.

To replace a lost card:

  1. Click Change at the bottom of the screen.
  2. Double-click on the line of the card that you want to replace.
  3. Select Replace. A Replace current card screen appears.
  4. Scan or enter the replacement card number, or enter V to allow the system to generate a number.
  5. Click OK. A payment screen appears. If a cost has been configured for replacement cards, the amount will display.
    • If payment is required, settle the fee with the customer.
  6. Click Save at the bottom of the screen. A new card is created. The replaced card status is changed from Active to Replace. The replaced card is no longer valid.
  7. Optional. Double-click on the old (replaced) card and select Delete to remove the card from the account.

Holds and loan history, if enabled, is retained on the account.

Lost or damaged card

When a customer loses their library card, there are two options:

  • Temporarily block the card
  • Immediately issue a replacement card, which renders the original card invalid

If a card is damaged or stolen and there is a threat of misuse, it is better to replace the card.

Add a card

A card can be created from the Cards tab if one did not previously exist. If the customer already has a card associated with the account, additional cards can be created as conditional share cards for the account.

  1. Click Change at the bottom of the screen.
  2. Double click on any line in the table.
  3. Select Add.
  4. Scan or enter a library card number, or enter V to allow the system to generate a number.
  5. Click OK. If a cost is associated with the account, the payment screen will display.
    • If payment is required, settle the fee with the customer.
  6. Click Save at the bottom of the screen. A new card is created and can be used immediately.

Change a primary card to a share card

A primary card can be changed to a share card. Share cards are a type of conditional card used to share an account with a friend or family member.

  1. Click Change at the bottom of the screen.
  2. Double click on the line of the card that you want to make the primary card.
  3. Select Change to share card. A confirmation message appears.
  4. Click Yes. The card Type changes to Primary card and the card that was previously Primary changes to Conditional card.
  5. Click Save at the bottom of the screen.

Note: A primary card cannot be changed to a share card if there is only one card on the account. If this action is attempted, a message displays: Attention: customer has no other active cards anymore, cannot set primary card to share card.

Delete a card

Only blocked or replaced cards can be deleted. Once a card is deleted, it cannot be replaced.

  1. Click Change at the bottom of the screen.
  2. Double-click on the line of the card you want to delete. Remember, the status of the card must be Replace or Blocked.
  3. Select Delete. The line disappears from the table.
  4. Click Save at the bottom of the screen.

Print primary and conditional cards

  1. Click Change at the bottom of the screen.
  2. Select Print.
  3. Choose a style sheet for printing the card from the drop-down menu and click OK. The library card is printed.
  4. Click Save at the bottom of the screen.
