(PLT) Central shelf table and Location / Shelf

Learn how to define the central shelf table and to define shelves in Wise.

(PLT) Central shelf table

The Central shelf table is located in the Wise configuration manager at OCLC Wise > Items and Locations > Local location management > (PLT) Central shelf table. The central shelf table serves as the backup when displaying a shelf table. This allows staff without permission to edit shelving locations to view and select shelves. This table contains all locally used shelf codes with a default description.

(PLT) Location / shelf 

The Location / shelf table is located in the Wise configuration manager at OCLC Wise > Items and Locations > Local location management > (PLT) Location / shelf. The local Location/shelf table is maintained for each location in this table. To view the shelves for a location, click Open next to the location. A list of branches for this location displays. Click Open next to a branch to view the shelves for that location.

The local shelf table can also be maintained in the Wise client at Branch management > Shelf management. The options in the Wise client are limited to editing the basic data of existing shelves.

A shelf is any place where staff and the public can find an item within the branch. A shelf can refer to a physical shelf or any other specific location within the physical library. Fixed and temporary shelves can be created for a branch. Fixed shelves are those in which items are of a standard type. Temporary shelves are intended for temporary displays or collections.

A fixed shelf must be identified for each item in order to indicate where the item should be placed. If an item must be temporarily placed in a different location, the item will be assigned a temporary shelf code. If the temporary location is entered, Wise will display the description of the temporary shelf in the placement, which appears in both the staff and public catalogs.

Each shelf (permanent and temporary) must be assigned a unique, 3-character shelving code. Descriptions do not need to be unique.

Create or edit a shelf code 

To add or edit a shelf code:

  1. In the Wise configuration manager, go to Items and locations > Local location management > (PLT) Location/shelf.
  2. Click New to create a new shelf, or detail next to an existing code to edit. The Shelf window opens.
  3. Enter shelf code information, or to edit an existing code, select Change and then edit details:
    Field Description
    Type Automatically filled by the system (PLT)
    Branch Automatically filled by the system, the selected branch
    Shelf code Unique, 3-character code
    Description (internal only)

    The standard description of the shelf. This text appears in the staff catalog and on lists. If no Description for the public is entered, this text also appears in the public catalog. Limit 80 characters.

     Note: Changes to the Description will be implemented during the nightly system update. Because web catalogs have their own caches, it may take longer for updates to appear.

    Description for the public

    Only provide if a separate description is required for the public catalog for a fixed shelf. On temporary shelves, the public description is not used.

    If a description is entered, it will display in the public interface. Limit 60 characters, including the department and shelf.

     Note: Changes to the Description will be implemented during the nightly system update. Because web catalogs have their own caches, it may take longer for updates to appear.

    Section Code for the department where the shelf is located. Select from the drop-down list.
    Subdivision

    Subdivision allows users to search in the sorting bin and/or for the position on the map in (PLTOND) Subdivisions.

    You can specify that searches must be performed based on a specific title/item selection. Select from the following options in the drop-down list:

    • H - Keyword
    • S - SISO
    • G - Genre
    • C - SCAT
    • T - Language
    • L - Age category
    Reporting group Not for use in US libraries.
    Sorting bin

    Not for use in US libraries.

    Block reclassification If Yes is selected, items from this shelf will not be automatically reclassified by Wise to another location.
    Storage

    Make a selection:

    • Y - Yes, the shelf is in storage
    • N - No, the shelf is not in storage (default selection, if left blank)
    • M - Manual, each item is assigned as in or not in storage

     Note: A change to this selection from Yes to No will only be executed to items during the nightly system run. Because web catalogs have their own cache, it may take longer for an item to display as in storage when a change is made.

    Walking route If the shelf is included in a walking route, enter a code for the shelf to display on the grid list for holds, reviews, items, and other reports.
    Normal holdings For each shelf, indicate if there is a standard for holdings.
    Alert

    Select whether or not an alert message will display when an item on this shelf is checked in:

    • Y - Yes - The location appears in a pop-up message when the item is returned and will remain in the Note column.
    • N - No
    • B - Confirm - When this option is selected, the location appears in a pop-up message when the item is returned. The message requires confirmation to accept the return.
    X-position on map

    Not for use in US libraries.

    Y-position on map

    Not for use in US libraries.

    Temporary shelf

    Select Yes if this is a temporary shelf.

    Unlink after check-out

    Only applicable to temporary shelves with no minimum term. Select:

    • Yes - When an item is checked out, the temporary location status of the item must be removed.
    • No (default) - The temporary location status of the item remains unless the maximum term is overridden.
    Maximum period

    Only applicable to temporary shelves. Enter the maximum period, in days, for the temporary location. After this period, the temporary location will be removed. 

    To review items that still have this temporary location after the specified period, run a selection in the staff client for items based on "closing date". For more information, see Selections.

    Block floating

    Select Yes to block floating. The default setting is No.

     Note: When using BCB, do not block floating for shelves.

    Shelf space (in yards) Not for use in US libraries.
    Marketing department For use with the Marketing workbench. If the shelf can be used in conjunction with the Marketing workbench, select the marketing department to which the shelf applies. Because web catalogs cache shelves for 24 hours, updates to this field will not appear in the web catalog until the next day.
    Hold request for storage shelf to storage module? If Yes is selected, items with this code are available in the storage module. 
  4. Click OK to save.
