Receive issues
Receive issues from the catalog
When a new issue is received, it is added to the subscription from the Subscription screen.
- Search for the title in the catalog.
- Double-click on the title of the periodical for which you will receive issues.
- Click the calendar button () to open the Subscription screen.
- Go to Subscription > Receive. The Receive issues screen appears. The Period and Serial number are automatically populated by Wise.
Provide or verify the following information:Field Description Magazine Title of the magazine Subscription The branch number holding the subscription Period If the subscriptions are associated with a title of type T (Magazine) and there are circulating items created for the editions, Wise creates a yearly volume title per period.
- If the period represents a calendar year, the first box displays the year and the second box is left blank.
- If the period represents an academic year, the start of the academic year goes in the first box and the end of the academic box goes in the second box (e.g., 2018 / 2019 for a September 2018 - April 2019 academic year publication). The system will not generate a new period for academic year publications.
Number The number is automatically populated must contain two characters (e.g. 02, not 2). Numbers with more than three digits are displayed in the alternative number field (after or)
Date received The date that the issue arrived at your library. Comment Any comment entered here will display in the window where the individual issues are processed. This can be used for instructions on special handling, for example how to handle a special attachment. The comment is saved with the subscription item, not for an item that can be checked out. Volume An official year or volume can be added for academic journals. This box does not affect the yearly titles. The content of this field is passed on from item to item within the subscription. A new value must be manually added or deleted for each issue.

Click Continue. A second Receive issue screen appears. Here, you can supply item-specific information, if desired.

Reference only Issues can be marked Reference only. When this option is selected, a time period for temporary status is established based on the frequency with which the magazine is delivered. The end date of the reference only period is displayed in the received date. This date can be changed, if the date is removed the issue will remain as Reference only until a date is provided. If the issue can be checked out, you must set Reference only to No. The date field is cleared.

Enter the barcode for the new issue. If relevant, provide temporary placement and/or inspection information.

Click Received. A confirmation message appears.

Click OK. The issue is added to the subscription.
Receive special issues
Sometimes a subscription includes a special release or addendum. These issues do not follow the frequency assigned to the title and can cause the system to generate an incorrect issue number. In this case, you must manually change the issue number.
To change an issue number:
- Open the Subscription screen for the title you need to adjust.
- Go to Subscription > Receive to receive the special issue.
- Delete the series number provided by the system in the Number field.
- Enter an alternative series number in the box to the right of the Number field. This field can include letters or numbers.
- Click Receive.
If the last issue received had an alternative series number that started with a number, it will try to continue counting from the received number when a new issue is received. If the alternative series number does not begin with a number, the system will restart the counter to 01.
Receive from the Periodicals management screen
The Periodicals management screen allows users to quickly process issues of magazines as they arrive.
To view the issues that are expected to arrive, go to Titles > Subscription management > Periodicals management. All issues that are expected for delivery are displayed in a list on the screen.
To process issues, select the issue line you wish to receive and click Process. The recent items window opens. If several copies of the same issues are expected, you will see them successively on the recent items screen and can process them at once, without having to select and process each issue individually.
If the list is very long, use the search box at the top of the screen to locate a specific title.
