Shelf management configuration

Find information about managing shelving locations within the Wise staff client.

The local shelf table can be maintained within the staff client. Authorization to access this function is assigned the role Item Management and can apply to both the branch and the institution. With Item management authorization, it is possible to create and manage temporary shelves in your branch. The basic data of both fixed and temporary shelves can be changed. Fixed shelves are shelves where items are placed by default. Temporary shelves are intended for the temporary placement of materials. Examples of temporary shelves might include new releases, display cases, and exhibits.

Shelves can also be managed in the Wise configuration manager in the Central shelf table and Location/Shelf tables.

Shelf management screen

Shelf management is accessed via Branch management > Shelf management. The Shelf management window contains two panels. Select a branch from the drop-down list at the top of the screen to view all of the selected branch's shelves, both temporary and fixed, in the top panel of the screen.

To view additional details about a shelf, click on the shelf line and details appear in the bottom panel of the screen.

Shelf details include the following information:

Field Description
Code Unique 3-character shelf code
Staff description

Standard description of the shelf in the staff catalog and on lists such as the shelf list.

A change to the description will not be made to the items until the nightly system run.

Public description

Description of the shelf as it is displayed in the OPAC. If this field is not filled out, the system will display the Staff description.

A change to the description will not be made to the items until the nightly system run.

Label This field is not in use.
Department If the branch has departments, selections are available from the drop-down list.
Section This field is not in use.
Storage

Is the shelf in storage? Select:

  • No - the shelf is not in storage
  • Yes - the shelf is in storage
  • Manual - each item must be configured to indicate whether or not the item is in storage
Holdings standard Indicate if there is a desired holdings standard for the selected shelf.
Temporary shelf?

Is this shelf temporary? Select:

  • Yes - Temporary
  • No/blank - Fixed
Alert

Should a placement alert appear when the item is checked in? Select Yes or No.

Reclassify block Can Wise automatically reclassify items from this shelf to a different shelf? Select Yes or No.
Disconnect after check-out

This option is only applicable for temporary shelves. Select:

  • Yes - at check-out, the temporary placement is removed from the item
  • No - keep temporary placement, unless the maximum period is exceeded
Max. term

Enter the number of days an item must stay on a temporary shelf. If this period is changed, it only applies to newly added items.

 Note: This only works if unlink after check-out is set to No or left blank. To retain items on this temporary shelf indefinitely, enter 0.

To review items that still have this temporary location after the specified period, run a selection in the staff client for items based on "closing date". For more information, see Selections.

Sorting bin

Branches that have a sorting license can indicate for each shelf which sorting bin the items from the shelf must be sorted into. Only use codes 05 - 99 when entering a sorting bin number.

 Note: The statuses:

  • 01 - HIT item
  • 02 - Reserved/requested item
  • 03 - Transport item
  • 04 - Blocked/Return for review/Temporary shelf item/Part  of an exchange collection that must be returned
  • 05 and beyond - Normal (can be used for items of a route collection with a temporary shelf; these are assigned status D)
Walking route If entered, the code will be used by default for sorting items on the pull list for hold requests, discard lists, etc.

Create and edit shelves 

Library shelves are created and managed in the menu Branch management > Shelf management. Only temporary shelves can be created via the Wise configuration manager, but temporary and fixed shelves can be managed using this function.

Create a temporary shelf

To create a new temporary shelf:

  1. Click Create new shelf
  2. Enter details about the temporary shelf in the shelf fields at the bottom of the screen.

     Note: The Temporary shelf? box cannot be unchecked when a new shelf is created. Only temporary shelves can be created in the staff client.

  3. Click Save shelf. The shelf is added to the shelf table.

After a temporary shelf is created, items can be added to the shelf using the Batch changes process.

Delete a temporary shelf

To delete a temporary shelf:

  1. Select the shelf you want to delete from the shelf table.
  2. Click Delete selected shelf. The shelf is removed.

 Note:  A shelf must be empty before it can be deleted. If you attempt to delete a shelf that contains items, an alert message will display. To remove items from a temporary shelf so that it can be deleted, select the Off temporary shelf checkbox and check in the materials.

Change a fixed shelf

Only basic data can be changed on a fixed shelf. Fixed shelves cannot be deleted or changed from fixed to temporary.

To change a fixed shelf:

  1. Select the shelf you want to edit in the shelf table.
  2. Change details in the fields in the bottom part of the screen.
  3. Click Save shelf to save changes.
