WorldCat OCN sync
Overview
OCLC number (OCN) sync allows Wise to update and merge OCNs from WorldCat into Wise, so that Wise titles remain up to date. This ensures that cover art and automatic holdings sync process for titles with updated or missing OCNs are not impacted.
Sync process
The automatic OCN sync process will sync OCNs when:
- Merging titles
- Overlaying titles from WorldCat
- Batch-loading titles from WorldCat
- Editing a title via MARC editor
If a Wise title record already contains an OCN and it is updated during the sync process, that old OCN will be moved to the Previous OCN field and the new number will be added to the OCN field.
The process will not sync holdings for titles with the following flags enabled:
- Public block (and/or)
- WorldCat Holding Sync Block
Reporting
The OCN sync from WorldCat report is available in the Client via Titles > Overviews > OCN sync from WorldCat. To generate the report, staff will need to make selections in the following fields:
- Synchronization date*
- Up to and including
Manager Dashboard on the Reports tab, the report name is OCN sync from WorldCat (date range).
Note: This report can take time to generate. To prevent the system from crashing, limit this report to 4-week intervals and select Background to allow the report to generate in the background. It can then be retrieved from theThe BIRT report that is generated displays the following columns:
- Title ID - the Wise title ID that was reviewed
- Wise OCN - the OCN already stored in Wise
- WorldCat OCN - the new OCN found in WorldCat
- Action - The action taken by the system
- Notes - When a title can not be updated, the Notes field explains why a match was not made
- Date - The date and time the update was made to the title.
WorldCat OCN Sync Block
OCN sync blocks can be set at the title level. When the block is set, the title OCN will not be automatically updated by Wise. The block is dependent on the holdings sync. When Block holdings sync is turned off, Block OCN sync must also be turned off.
