Process EDI order invoices
Learn how to process order invoices in the Wise staff client.
When items are ordered via EDI, the vendor will return an invoice via the FTP server. Your library should receive a notification from the vendor when the invoice is available.
Note: Wise supports the following EDI file extensions: .edi, .ein, .epo, .int, and .inv
To process an invoice in Wise:
- Save the invoice file on your computer.
- Upload the invoice:
- In the staff client, go to Branch management > File management.
- Right-click on the Factuur folder and select Upload file.
- Select the saved invoice file and click Open. The file is added to the folder.
- Close the File management window.
- Go to Titles > Order administration. The Order administration window opens.
- Go to Files > Import EDI files > Import invoice. The File window opens.
- Select the invoice file from the drop-down list. After an invoice is imported, it will no longer show up in the drop-down list. This prevents users from importing the same invoice file more than once.
- Click Agree. The invoice is imported.
- Go to Options > Select invoice. The Invoice/Order choice screen opens.
- Select the invoice you want to process from the list and click OK. Invoice details are populated on the Order administration screen. Items appear on the right side of the screen.
- (Optional) Click on an item to edit details in the fields below the item list. Click Save to save changes.
- Go to Options > Payment overview. The Make orders payable window opens.
- Select the vendor from the Vendors drop-down list.
- Select Yes for Change payment status.
- Click Agree to continue. A report is generated in your browser window. The invoice status is updated to Paid.
Note: .win files in the Factuur folder are archived after one month.
