Edit titles as a set

Learn how to edit titles as a set using the Selections function of the Wise staff client.

Batch changes can be executed on a set of titles. Using the Edit titles as a set functionality, you can quickly perform changes on up to 50,000 titles at a time. 

 Note: The EDITSET system option must first be enabled in order to use this feature. See System options for more information. 

  1. Navigate to Statistics and Selections > Selections
  2. Create or select a set from the set type Titles. 
  3. Select Set > Edit Titles as a Set in the bottom right pane. 
  4. The Edit Titles as a Set screen opens. Select either the Wise title or MARC tab from the top of the right pane. For more information about the data that can be changed, see Wise title set changes and MARC title set changes
  5. Make selected changes. 
  6. Click Apply the selected values to the set. 

Wise title set changes  

The following changes can be made to sets of title records:

Action Description
Allow holds Updates the Holds function on a set of titles. Click the check box, then select Yes or No to allow or disallow holds in batch. 
Public block Updates the Public block on a set of titles. Click the check box, then select Yes or No to apply or remove a public block in batch. 
Media type Changes the Media type in batch. Click the check box, then select a Media type from the drop-down list. 
Material type Changes the Material type in batch. Click the check box, then select a Material type from the drop-down list.

 Note: When the box is checked and no value is selected, the material type will be removed.

Youth material

Changes the Youth material type in batch. Click the check box, then select a Youth material type from the drop-down list. 

 Note: When the box is checked and no value is selected, the material type will be removed.

Youth/Adult

Changes the Youth/Adult type in batch. Click the check box, then select a Youth/Adult ype from the drop-down list. 

  Note: When the box is checked and no value is selected, the material type will be removed.

Non-fiction/Fiction

Changes the Non-fiction/Fiction type in batch.  Click the check box, then select a Non-fiction/Fiction type from the drop-down list. 

 Note: When the box is checked and no value is selected, the material type will be removed.

Title type 

Changes the Title type in batch. Click the check box, then select a Title type from the drop-down list. 

 Note: When the box is checked and no value is selected, the material type will be removed.

Language code

Changes the Language code in batch. Click the check box, then the ... box. A language window will open to make your selections from the drop-down lists. 

 Note: This change is also defined in MARC21 but will NOT change the MARC21 data.

Frequency  Changes the Frequency (for periodicals) in batch.  Click the check box, then select a Frequency from the drop-down list.

MARC title set changes  

Changes can be made to the MARC records of a title set. 

 Note: Only one MARC field can be updated in batch at a time. 

Action Description
Add Adds a MARC tag to the set of titles. Select the appropriate TagIndicator 1 (optional), and Indicator 2 (optional) from the drop-down lists. Populate the Value field with the subfield delimiter(s) ($), subfield(s), and desired text string(s). 
Delete

Deletes a MARC tag from a set of titles. Select the appropriate TagIndicator 1 (optional), Indicator 2 (optional), and Subfield from the drop-down lists. Populate the Value field with the desired text string(s).

 Note: Do not include the Subfield delimiter in the Value field. 

There are several options available to limit the tag(s) you delete: 

  • Equals deletes the tag matching all values selected. 
  • Does not equal deletes tags that do not match the values selected. 
  • Contains deletes tags containing the values selected. 
Modify subfield

Modifies a MARC subfield from a set of titles in batch. Select the appropriate TagIndicator 1 (optional), Indicator 2 (optional), and Subfield from the drop-down lists. Populate the Current value field with the text string you want to replace. Populate the Replace with field with the new subfield. 

 Note: Do not:

  • Include the Subfield delimiter in the Value field. Empty strings and/or spaces are not supported.
  • Leave the Replace with field empty. If the Replace with field is empty, the subfield will be deleted.

There are several options available to limit the subfield(s) you modify:

  • Equals modifies the tag matching all values selected. 
  • Does not equal modifies tags that do not match the values selected. 
  • Contains modifies tags containing the values selected.
  • Not applicable modifies the Current value field so it is no longer accessible. This provides the option of adding a subfield to an existing tag.

Bulk move titles to the back catalog  

Titles can only be moved to the bottom catalog when they have Title Type E (online resource), have no items, and are currently in the top catalog.

To Move titles in set to back catalog:

  1. In the Wise client, go to Statistics and selections > Selections.
  2. Select or create the title set that you want to move to the back catalog.
  3. Click Set > Move titles in set to back catalog. A confirmation window opens.
  4. Click Agree. The titles are moved to the back catalog.
