File management settings

Find information about managing files within the Wise staff client.

File management allows staff users to access saved files, images, and templates that are applied in the staff client. If the role is assigned, staff can access locally stored files that are used in the system.

Authorizations

Depending on the staff authorization, files can be viewed, downloaded, and uploaded in File management.

The menu entry File Management is only active if the employee has rights to one of the file types shown in the window. The staff person logged in can only see folders they have authorization to view. For more information, see Access codes and authorizations.

Authorizations are assigned per folder. If the File management role is added to an existing role, authorizations can be assigned.

Download files

If the logged in staff member is authorized files can be downloaded. To download a file:

  1. Right-click on the file name you want to download and select Download selected file(s). A download window opens.
  2. Select the location to save the file.

If the function does not work, the current login might not have proper authorizations. Contact your system administrator to update access.

 Note:  It can take several moments for data to be retrieved and processed.

Folders

The following file folders are accessible via File management:

File Description
berichten Sent messages can be downloaded from this folder. These messages are deleted after a week.
bestel Contains order files.
betaal Contains payment files.
bulktitleedit Contains reports from bulk title edit feature.
camt_bestanden

Not for use in US libraries.

collectionhq Contains export files for collectionhq third-party vendors. This folder is only present if the library has a relationship with collectionhq.
custom

Contains SIP2 log files.

deletetitles Not for use in US libraries.
divexport Not for use in US libraries.
factuur

Used to load invoice files.

ggc

Not for use in US libraries.

incasso Not for use in US libraries.
innreach Third-party vendor folder for INNreach export files.
invoer

Not for use in US libraries.

itiva Third-party vendor folder for Itiva export files.
leerlingbestanden Used for student import files.
magda Not for use in US libraries.
marc21

Used for importing MARC 21 records.

The WCCC sub-folder is used for importing batches of more than 1,000 OCNs at a time.

nbdterugmeld

Not for use in US libraries.

onderhoud

Not for use in US libraries.

pakbon Used for packing lists. 
pica

Not for use in US libraries.

po_templates Location of purchase order templates.
rapporten Reports generated in the Report processor within the Wise configuration manager are sent to this location. 
resources

Location of stylesheets.

temp The temporary folder for exports. Files older than 24 hours are automatically cleaned up.
thema

Not for use in US libraries.

trash Recycling bin for deleted files.
uitvoer Not for use in US libraries.
unique Third-party vendor folder for Unique export files
verwontv

Not for use in US libraries.

wisexch_bestanden Not for use in US libraries. 

Refresh folder content

If a new file is uploaded or changed, you may need to refresh the folder in order to see the change.

To refresh a folder in the staff client:

  1. Right click on the folder you want to refresh.
  2. Select Refresh folder content. The content of the folder is updated.

Folders and files that are placed on the server while the staff client is open are refreshed.

Upload files

Files may be uploaded into the staff client for example, to update an image for Location and floor plans or Tickets.

By default, files are displayed alphabetically by file name. To change the sort order, double-click on a column header. If authorized, staff can upload files:

  1. Right-click on the folder to which you want to upload a file.
  2. Select Upload file. A file browser window opens.
  3. Select the file you want to upload and click Open. If there is already another file with the same name, you will be asked whether you want to overwrite the file. If you choose to overwrite the file, the old file will be moved to the trash folder.

Delete files

Files can be deleted from folders by right-clicking and selecting Delete selected file(s). Deleted files are sent to the Trash folder.
