Data migration process

Learn about the Wise data migration process.

Data file types

 Note: Migrated data is retained by OCLC for 6 months following your migration to Wise.

The Wise implementation process requires the migration of several sets of data. This data should be exported and saved in separate files. Follow the guidelines below to name and structure the file. Specific guidelines for each of the types of data files are outlined:

File criteria

  • Provide data files in UTF-8 (without BOM) encoding file format. Please ensure your data files do not include any HTML tags.
  • File naming must follow specific rules:
    • Filenames can contain letters, numbers, periods and underscores.
    • Filenames cannot contain spaces or special characters.
    • If you are using a non-Windows machine, save the file as a Windows-formatted text file.

Send data files

Once your data is prepared, you will send it to OCLC. 

  1. Send your data file to your File Exchange account. An open-source FTP client (e.g., Filezilla or WinSCP) is recommended, as it works consistently with multiple operating systems.
  2. Enter the host and port for your institution (supplied by your Implementation Manager).
  3. Enter your institution's username and password (supplied by your Implementation Manager).
  4. Expand the folders in the Remote site pane to display full names.
  5. In the Local site pane, navigate to the directory folder from which you will be sending files.
  6. Select the files to upload and drag-and-drop them to the related local folder on the remote site pane.

FTP directories to use for uploading files:

Bibliographic data /xfer/wise/in/bib
Customer data /xfer/wise/in/patron/full
Item financial data /xfer/wise/in/circdata/fees
Item holds data /xfer/wise/in/circdata/holds
Item status data /xfer/wise/in/circdata/loans
Item historical data /xfer/wise/in/circdata/loans

The files will be added to the transfer queue at the bottom of the window.

 Note: Do not close your FTP client until all bytes are completely transferred.

We will communicate the results or if errors are found, we will ask that you resubmit the file.
